Location: Southside of Chicago, or Dallas, TX
Job Type and Duration: Direct Hire
Pay range: 28-35/HR

Job description:
Seeking an experienced Staff Accountant / Bookkeeper to join our accounting team. This position is responsible for day-to-day accounting functions, payroll, financial reporting, reconciliations, union reporting, compliance, and maintaining accurate financial records.
This is a hands-on accounting position requiring strong attention to detail and the ability to independently manage multiple accounting and administrative responsibilities. Construction accounting and Sage 100 Contractor experience are highly preferred.

Key Responsibilities

Accounting & Financial Reporting

• Maintain the company's general ledger, books, records, and supporting schedules.
• Assist in preparing interim and year-end financial statements.
• Audit transactions for accuracy, proper coding, and correct posting.
• Perform monthly bank reconciliations.
• Review and reconcile intercompany transactions.
• Maintain accurate records of company assets and financial transactions.
• Assist with relationships and reporting requirements for banks and lending institutions.
• Support month-end and year-end closing procedures.

Sage 100 Contractor ​ or Quick Books

• Perform and maintain accounting functions within Sage 100 Contractor .
• Review transactions and accounting entries for accuracy.
• Maintain appropriate Sage security, user permissions, and accounting controls.
• Troubleshoot accounting and payroll posting issues.
• Maintain accurate job, payroll, vendor, customer, and general ledger information.

Payroll & Union Reporting

• Process payroll, including checks and direct deposits.
• Set up and maintain payroll calculations, deductions, and employee information.
• Create and maintain union codes, wage rates, and fringe benefit calculations.
• Prepare, verify, pay, and submit union reports.
• Calculate, pay, and submit federal and state payroll taxes.
• Maintain vacation and sick-time balances.
• Review time and attendance records for payroll processing.
• Assist with certified payroll and prevailing-wage requirements as applicable.

Compliance, Audits & State Filings

• Coordinate and respond to external audits, including union, insurance, state, payroll, and other regulatory audits .
• Assist with federal, state, and local tax compliance.
• Complete state registrations, renewals, and required filings.
• Prepare Statement of Experience and contractor prequalification applications for state and public agencies.
• Maintain supporting documentation required for government and regulatory filings.

Accounts Receivable & Administrative Accounting

• Review and maintain accounts receivable records.
• Process invoice corrections, credits, and voids when required.
• Review and process customer credit applications.
• Maintain organized accounting documentation and electronic records.
• Assist management with financial reports and accounting information as requested.

Qualifications

• 3+ years of accounting or bookkeeping experience required.
• Construction accounting experience strongly preferred.
• Sage 100 Contractor experience strongly preferred.
• Experience processing payroll required.
• Union construction payroll and reporting experience is a major plus.
• Knowledge of prevailing wage and certified payroll is a plus.
• Strong understanding of general ledger accounting, reconciliations, and financial reporting.
• Experience working with external auditors is preferred.
• Excellent computer and Microsoft Excel skills.
• Excellent written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple deadlines and work independently.
• Ability to handle confidential financial and employee information.

Ideal Candidate
The ideal candidate has worked in the construction industry and understands the additional accounting requirements associated with union payroll, prevailing wages, job-cost accounting, state prequalification, insurance audits, and multi-state operations.
We are looking for someone who is accurate, dependable, organized, and comfortable taking ownership of accounting responsibilities rather than simply processing transactions.

Experience:

• Accounting/Bookkeeping: 3 years (Required)
• Construction Accounting: 2 years (Preferred)
• Sage 100 Contractor: 2 years (Preferred)
• Union Payroll: 1 year (Preferred)
