This role plays a key part in supporting a service organization that is actively growing and scaling.

 

Position Summary

We are looking for a high-energy, detail-oriented operator to coordinate our daily service operations.

This role is ideal for someone who:

You will serve as the central hub of our service team, ensuring technicians are scheduled efficiently, customers are communicated with clearly, and service work flows smoothly from start to finish.

 

What You’ll Own

Dispatch & Scheduling (Keep Things Moving)

• Own daily technician scheduling and job coordination
• Prioritize and adjust schedules in real time
• Coordinate emergency service calls
• Ensure technicians are deployed efficiently

 

Customer Communication (Be the Voice of Service)

• Communicate directly with customers to schedule service
• Provide updates, timelines, and expectations
• Handle schedule changes and keep customers informed
• Build confidence through clear, professional communication

 

Service Coordination & Execution (Own the Details)

• Create and manage service tickets
• Ensure all job details are accurate and complete
• Track open work orders, follow up on outstanding items, and ensure service documentation is completed promptly.
• Maintain clean and organized service records

 

Preventive Maintenance Scheduling

• Schedule recurring service visits for contract customers
• Ensure PM work is completed on time
• Keep service schedules organized and up to date

 

Proposal Assembly (Put It All Together)

• Assemble service quotes using internal templates
• Coordinate with Parts Coordinator for pricing
• Estimate labor and job requirements
• Submit proposals to Service Manager for review

 

Technician Support (Set the Team Up for Success)

• Ensure technicians have everything they need before heading to a job
• Coordinate site logistics and access
• Keep technicians informed and aligned throughout the day

 

Internal Coordination (Connect the Dots)

• Work closely with the Parts Coordinator to ensure parts are identified, priced, available, and ready prior to technician dispatch
• Coordinate with Service Intelligence team on monitoring-driven work (future state)
• Ensure jobs are fully prepared before dispatch

Must-Haves

• Strong organizational and multitasking skills
• Excellent communication skills (you enjoy talking with people)
• Ability to stay calm and focused in a fast-paced environment
• Strong attention to detail and follow-through
• High sense of ownership and accountability

 

Preferred

• Experience in dispatch, service coordination, or operations
• Experience in HVAC, electrical, mechanical, or service environments
• Experience with ERP or service management systems
