Principal Administrative Coordinator

: Overview: The Biological Sciences Division (BSD) within the Earth & Biological Sciences Directorate seeks a highly organized and motivated Principal Administrative Coordinator to provide comprehensive, executive-level support to the Division Director and lead the division administrative team. In this role, the successful candidate will work in partnership with the Division Director to ensure that division staff have the resources they need to achieve optimum success. **Once eligibility requirements are met. Click Here For Rockstar Rewards Responsibilities: As the primary support for the Division Director and Division office, responsibilities of this position include:
  • Serving as the point of contact for the Division office.
  • Leading the BSD administrative team by providing training and support as needed, as well as assisting with balancing workloads across the team.
  • Managing complex calendars and schedules.
  • Reviewing and triaging Division Director's email as necessary.
  • Tracking action items and deliverables for and from the Division Director through completion.
  • Managing domestic and international travel arrangements and subsequent expense reports.
  • Scheduling, preparing for, and helping in execution of meetings.
  • Drafting presentations, internal and external reports, reviews, and other documents.
  • Assisting with hosting visitors, interviewees, onsite workshops, seminars, and other related events.
  • Organizing and maintaining division files and materials, staff development files and other confidential records.
  • Assisting in the processing of scientific publications, and performing entry updates as necessary.
  • Communicating and corresponding with division staff, others in the directorate and laboratory, and external parties.
  • Maintaining effective working relationships with administrative counterparts across PNNL, and DOE sponsors, among other organizations, as appropriate.
Additional competencies include but are not limited to:
  • Extensive working knowledge of Microsoft 365 tools, specifically Word and Outlook.
  • Excellent written and verbal communication skills to communicate effectively with a diverse population, including high level managers and clients.
  • Demonstrated ability to multi-task, prioritize and organize work under tight deadlines and changing priorities.
  • Independently handle day-to-day administrative processes associated with office and team coordination.
  • Ability to anticipate potential issues and recommend solutions as well as identify opportunities for continuous improvement.
  • Ability to provide oversight, guidance, and training to less senior or new staff when necessary.
Qualifications: Minimum Qualifications:
  • High school diploma/GED and 12 years of relevant experience in an administrative environment -OR-
  • AA degree or higher and 10 years of relevant experience in an administrative environment.
  • Experience in planning meetings and coordinating travel
Preferred Qualifications:
  • Experience supporting an executive or senior level manager strongly preferred.
  • A minimum of three years of PNNL administrative experience.
  • A history of effectively performing complex administrative tasks with competing priorities; tracking and initiating actions efficiently and appropriately for a wide diversity of assignments; and working effectively in a dynamic, demanding, and sensitive environment.
  • Experience with functioning in a high-paced environment.
  • Demonstrate sound judgment and attention to detail when performing tasks.
  • Deal professionally with sensitive and confidential matters and materials.
  • Experience base should clearly demonstrate high proficiency in office management, administrative skills, attention to detail, responsiveness, organization, work prioritization, judgement, discretion, conflict resolution, hosting senior visitors, and independent action and follow-through.
  • Strong interpersonal skills to positively interact and team with a wide variety of staff and sponsors are crucial to this position.
  • Ability to make sound decisions.
