Assistant Community Manager

Job Description Summary This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. Job Description Property Type: Garden Stage: Stabilized Unit Count: 517 Schedule: Monday‑Friday + rotating weekends Responsibilities Complete daily financial transactions and tasks related to the community, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables. Operate the property management software (Yardi/OneSite) and ensure accurate entry of required fields, updates, and backups. Review resident files and accounting records to identify unpaid or late fees, communicate with residents on outstanding balances, implement collection procedures, and enforce lease terms to maximize revenue. Review and submit vendor, contractor, and service provider invoices for payment, reconcile work performed or products purchased, obtain community manager approval, code charges to appropriate Chart of Account, and manage communications among vendor, accounting, and client/owner. Follow company procedures related to evictions, including proper notice, execution of evictions, and representation in court hearings. Process resident move‑outs by reviewing lease terms, applying deposit and cancellation fees as applicable, and completing dispositions in line with legal requirements. Promote resident satisfaction and retention by responding to complaints, questions, and requests promptly and resolving service issues. Act as on‑site supervisor in the absence of the community manager, organizing daily work, coordinating maintenance and make‑ready tasks with the maintenance supervisor, and managing the community operation in compliance with policies. Assist in managing client/owner relationships by meeting owners, conducting community tours, providing performance updates, and responding to owner requests. Support leasing and marketing efforts by greeting prospective residents, gathering information via the Guest Card, showing apartments/models, closing leases, guiding applicants through rental application and credit verification. (California only) Review all completed move‑in files prior to submission to the community manager for review and approval. Qualifications Bachelor’s degree in Business Management, Communications, or related field. 1‑3 years minimum of relevant experience in residence life and/or property management, demonstrating community management, sales, marketing, customer service, financial record‑keeping, and team coordination. Understanding of lease terms and lease enforcement, including collections. Excellent written and verbal communication skills. Detail‑oriented, self‑motivated, capable of working independently and collaboratively. All required licenses and/or certifications as mandated by state and local jurisdictions. Valid driver’s license to operate golf carts on property. Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs. Strong proficiency using property management software (Yardi, OneSite, Entrata, etc.). Will consider qualified applicants with arrest and conviction records. Specialized Skills All required licenses and/or certifications as mandated by state and local jurisdictions. Valid driver’s license to operate golf carts on property. Advanced proficiency in Internet, word processing, spreadsheet, and database management programs.
