The Samis Foundation was established in 1994 to provide for charitable, educational, and humanitarian purposes. Its wholly owned subsidiary, Samis Land Co., manages over $200M in real estate holdings, held by the Foundation. Profits from the real estate holdings and other investments fund our grant-making. Samis is a small company with big company benefits that take care of our employees. Many of our team members have a very long tenure resulting in a warm and family like atmosphere. Position Overview The Senior Property Manager is responsible for the overall performance of a portfolio of commercial office, retail, and industrial properties. This position leads financial performance, leasing, property operations, capital improvements, and tenant relations, while supervising the Chief Building Engineer to maximize the long-term value of the portfolio. ESSENTIAL FUNCTIONS Leasing and Tenant Relations Market available spaces, research market rates, coordinate and contract with listing agents or brokers, and maintain marketing files. Draft lease proposals, new leases, lease renewals, and amendments. Analyze lease economics and negotiate lease language with assistance from Samis’ attorney. Maintain complete and accurate tenant files including leases, correspondence, contracts, tenant contact lists, insurance certificates, and tenant improvements documentation. Manage tenant relationships by enforcing lease provisions and providing customer service that promotes tenant satisfaction. Coordinate tenant move-ins and move-outs. Review and approve tenant and lease data within Yardi to ensure accuracy. Prepare annual and five-year operating and capital budgets with assistance from the Accounting Department. Review and approve annual operating expense estimates and reconciliations. Review quarterly financial reports, provide variance explanations, and recommend expense reclasses as necessary. Review, code, and approve invoices for property operations, tenant improvements, and capital projects. Process rent payments and monitor tenant receivables, coordinating with legal counsel when collection efforts are required. Partner with the Director of Real Estate to develop and execute strategies that maximize property value, occupancy, tenant satisfaction, and long‑term asset performance. Property Operations & Capital Projects Perform routine property inspections with emphasis on safety, cleanliness, appearance, operational efficiency, and risk management. Respond to maintenance issues and coordinate work with the Chief Building Engineer. Develop and manage relationships with vendors and service providers, including contract negotiation, procurement, and performance evaluation. Work with Chief Building Engineer to manage tenant improvement and capital projects from planning through completion, including: reviewing and approving construction plans, Seattle Department of Construction and Inspections and Preservation Board reviews; coordination with space planners, architects, engineers and tenants; contractor selection and oversight; document management; compliance with regulatory agencies; tracking and approval of progress payments. Recommend and implement capital improvements and preventative maintenance strategies that reduce operating costs, minimize liability, protect assets, and enhance tenant retention. Compliance, Safety & Risk Management Work with the Chief Building Engineer to ensure compliance with applicable building, fire/life safety, elevator, energy, insurance inspections, and other regulatory requirements. Collaborate with the Chief Building Engineer to develop and administer building emergency procedures, training programs, issuance of equipment, manuals, and emergency drills. Identify operational risks and recommend corrective actions to protect company assets and minimize liability. Leadership & Administration Participate as a member of the management team in decisions regarding company policies, personnel matters, and community relations. Supervise, mentor, coach, and develop the Chief Building Engineer to ensure excellent customer service, effective building operations, and achievement of departmental goals. Establish performance expectations, conduct mid-year and annual performance evaluations, provide ongoing coaching and feedback, and implement performance improvement and corrective action, as appropriate, in accordance with company policies. Participate in the recruitment, selection, onboarding, and succession planning of engineering personnel as needed. Represent Samis through participation in professional organizations, industry associations, and community or governmental initiatives. Additional Responsibilities Provide backup support to other Property Manager(s) as needed. Perform other duties as assigned. INTERACTION AND ENVIRONMENT Work is performed in a combination of office and on-site commercial property environments. Office work is conducted in a climate-controlled setting with moderate noise levels. Regular site visits to managed properties are required and may involve exposure to varying weather conditions, construction or maintenance activities, and other potentially hazardous conditions. Appropriate safety procedures must be followed when on-site. The expected physical demands of the position are described below. Approximately 70% of time is spent seated while working at a desk. Balance of time (approximately 10%) is spent standing or moving around work areas. 20% of the time is spent traveling to and inspecting properties. Clear diction and acute hearing are necessary for effective communication with co-workers, clients, tenants, contractors, vendors, and outside agencies, by telephone and in person. Corrected vision close to 20/20 is necessary to effectively use the computer screens and interpret written information. The ability to lift and carry up to fifteen (15) pounds is necessary for transporting plans, tenant files, and other documents. The ability to stoop and kneel is necessary for accessing files/stocking supplies. Good manual dexterity is necessary for computer keyboard use and for retrieving and working with appropriate paperwork, equipment, and supplies. PROFICIENCIES Comprehensive knowledge of all aspects of the property management industry. Excellent written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone. Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook), Zoom, Adobe Acrobat, DocuSign and AI productivity tools; Strong computer and typing skills. Proficiency with Yardi Voyager (including the multiple modules to automate various functionality and administrative duties), RentCafé and CommercialCafé, or similar property management systems. Ability to: Take initiative, prioritize tasks, manage time effectively, anticipate potential problems, and develop practical solutions. Maintain the confidentiality of sensitive information. Work independently, as well as collaborate effectively, professionally, and tactfully with internal teams, tenants, clients, vendors, contractors, and public agencies. Motivate oneself and others. Perform work accurately with close attention to detail.
