Key Responsibilities Front Desk Duties Greet clients and visitors in a professional and welcoming manner. Answer and direct incoming phone calls. Schedule appointments and maintain attorney calendars. Manage incoming and outgoing mail, emails, and office correspondence. Maintain a clean, organized, and professional reception area. Assist with client intake and collection of required documentation. Scan, copy, file, and organize physical and electronic documents. Case Management Duties Serve as the primary point of contact for assigned clients. Maintain regular communication with clients regarding the status of their cases. Request and organize medical records, billing statements, police reports, and insurance documents. Communicate with medical providers, insurance companies, and other parties involved in personal injury claims. Assist attorneys in preparing case files, demand packages, and settlement documentation. Keep case management software updated with accurate notes, deadlines, and case information. Monitor case deadlines and follow up on outstanding records and documentation. Assist with settlement processing and closing case files. What You’ll Learn This role offers hands‑on exposure to the day-to-day practice of personal injury law. No prior legal experience is required—we are willing to train the right candidate. Previous experience in a personal injury law firm or legal office is preferred but not required. Excellent verbal and written communication skills. Strong organizational skills with the ability to multitask and prioritize in a fast‑paced environment. Professional, courteous, compassionate, and client‑focused demeanor. Proficiency in Microsoft Office (Word, Outlook, and Excel); experience with legal case‑management software is a plus. Ability to work independently while collaborating effectively with attorneys and staff. Strong attention to detail, critical thinking skills, and the ability to maintain confidentiality. A positive attitude, strong work ethic, reliability, and a genuine interest in building a career in the legal field. Preferred Skills Experience with personal injury case‑management software (such as Filevine, Clio, Litify, Needles, or similar). Knowledge of Texas personal injury claims and pre‑litigation processes. Experience obtaining medical records, reviewing medical bills, communicating with healthcare providers, and working with insurance companies is a plus.
