Billing Assistant

to join our Accounting team in

San Francisco

. This is a

hybrid position

based in our San Francisco office, with on-site presence required three days per week. As a Billing Assistant, you will play an important role in supporting the project accounting function by assisting with client invoicing, maintaining financial records, and ensuring billing information is accurate and aligned with client requirements. You will work closely with Project Accountants, Project Managers, and Finance team members to support the financial administration of projects. Key responsibilities include: Assisting Project Accountants with the preparation and processing of monthly client billings Organizing and maintaining project financial data within the firm's accounting system Matching accounting system data with supporting documentation and billing backup materials Modifying billing information to align with client contract requirements and invoicing standards Responding to inquiries from staff, vendors, and clients and communicating financial information to Project Managers and Project Accountants Processing invoices and vouchers and providing general accounts payable support Maintaining accounting and billing records within the firm's imaging and document management systems Supporting the Accounting team with administrative and financial tasks as assigned Contributing to sustainability initiatives through green workplace practices Who is the ideal candidate for this role? We are seeking a detail-oriented professional who enjoys working with financial data and providing excellent internal and external customer service. The ideal candidate will have strong organizational skills, the ability to manage multiple priorities, and a commitment to accuracy in a fast-paced professional environment. The most successful candidates will demonstrate strong problem-solving abilities, attention to detail, and effective written and verbal communication skills. They will be comfortable working independently while also collaborating with Project Accountants, Project Managers, and Finance leadership. Proficiency in Microsoft Office, particularly Excel, is required. Experience with accounting or project accounting software is preferred. What kind of education and experience are required? A high school diploma or equivalent is required. Prior accounting, billing, accounts payable, or financial administrative experience is preferred, particularly within a professional services environment such as architecture, engineering, construction, consulting, or related industries. Compensation is based on experience, qualifications, education, and location. The reasonably expected range for this position is $30.00/hr - $40.00/hr, and this position is eligible for overtime.
