Field Support Specialist

Chloeta is seeking a Field Support Specialist I to join our Catastrophe Command Center (CCC) team. This role will facilitate efficient operations and communication, with a focus on providing essential support to our field operations. Hours and schedule vary, based on field availability. Supervisory Responsibilities No Job Classification Full-Time, Permanent, Non-Exempt Duty Station Oklahoma City, OK (Fully onsite, Chloeta Corporate Headquarters) Travel Up to 10% Work Schedule Initial Training: Monday through Friday, 8:00 a.m. - 4:30 p.m. for approximately the first two (2) weeks. Regular Schedule Following Training: Wednesday through Saturday, 7:00 a.m. - 5:30 p.m., consisting of four (4) 10-hour shifts per week. Fire Season Schedule: During periods of increased fire activity, scheduled hours may shift to 8:00 a.m. - 6:30 p.m. or 9:00 a.m. - 7:30 p.m. to accommodate different time zones and operational needs. Employees are expected to maintain flexibility during the fire season. Any anticipated changes to the regular schedule will be communicated in advance, typically several weeks prior when operationally feasible. Duties/Responsibilities Coordinate and support fleet-related operational needs, including scheduling routine maintenance, inspections, repairs, and other vehicle services to help ensure fleet assets remain safe, operational, and available to support field activities. Maintain communication with field units, relaying situational updates to supervisory and management personnel within the command center Upkeep center communication log and track all incoming and outgoing communication efforts. Assist in creating documentation and plans that support field responses. Distribute automated calls as required. Use radio systems, and other communication devices to maintain contact with field crews. Answer incoming telephone traffic, check and forward voicemails to appropriate personnel. Maintain a trackable log system for all forms of communication. Coordinate, prepare, and distribute travel and lodging arrangements, ensuring all plans are approved, within budget, and shared with relevant personnel according to established guidelines. Manage and track travel expenses, including invoices, receipts, credit card statements, credit card authorizations. Record and distribute meeting minutes. Schedule home inspections by coordinating between homeowners, clients, and individual engine teams, adhering to specific scripts and client expectations. Manage home inspection schedules by communicating directly with homeowners and engines for any updates that would support optimal customer service. Maintain accountability of assigned equipment. Relay intelligence gathered from the field back to the Catastrophe Command Center (CCC) to support response efforts and program objectives. Assist the field in executing work orders. Help facilitate documentation used in operational and planning meetings. Complete incident reports when necessary and follow policy in forwarding to correct department. Respond to client request/inquiries following expectations established by management. Excellent interpersonal and customer service skills. Ability to maintain confidentiality over information, conversations, and Client information. Proficient in Microsoft Office Suite, Adobe Acrobat, Google Workspace, spreadsheets, online forms and related software. Excellent organizational skills with high attention to detail. Basic understanding of clerical procedures and systems such as record keeping and filing. Ability to work independently, self-starter. Understanding of multi-channel radio protocols, and telephone communication systems with medium to large incoming/outgoing facilitation needs. Education and Experience Required: High school diploma with a minimum of 1-2 years of experience in a dynamic professional office environment. Preferred: Associate's degree and background working in call center, dispatch center, or other operations/communications centers. Preferred: Customer service or Field Support Service experience Physical Requirements Prolonged periods of sitting at a desk and working on a computer.
