Sr Medical Education Program Specialist

This position involves close collaboration with medical students, residents, and faculty members to ensure seamless program operations. Additionally, the Specialist will manage the VSLO application process, facilitate onboarding for accepted candidates, coordinate schedules, evaluations, and grades for medical student rotators, and engage in administrative tasks such as updating course catalogs, syllabi, and handbooks. The successful candidate will play a crucial role in documentation management, onboarding processes, and scheduling for various educational experiences, contributing significantly to the success of our medical education mission. Employment Type Position is contract and time limited. Qualifications High school diploma or equivalent with 4 years of administrative experience. At least one year of administrative or program support duties in an academic department or college. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for general experience (except the required year of experience in an academic program). Minimum qualifications that require a high school diploma are exempt from SB 1310. Background Screening This position may be subject to a Level 1 or Level 2 criminal background check. Responsibilities Develops, assembles, and distributes curriculum information and associated materials to faculty and students rotating through clerkship/residency programs. Works closely with the clerkship/residency program director to establish, implement, and maintain program policies, procedures, and handbooks. Monitors and organizes student/resident progress through the rotations to ensure educational objectives are being met; initiates action where necessary to maintain academic standards of the clerkship/residency. Coordinates with students/residents and faculty in adjusting and modifying individual schedules; serves as liaison between students and faculty on a range of academic, administrative and personal issues. Serves as liaison with clerkship/residency community sites; assists faculty in assessing appropriate educational environments. Advise students on curriculum, testing and associated requirements. Coordinate, administer, proctor and grade student/resident testing, including National Board Exams. Develop and maintain databases and spreadsheets to track students through program; compile and analyze statistical and operational data; develop reports as requested. Screen and respond to daily correspondence regarding clerkship/residency program. Plan and coordinate various events, such as orientation, receptions, in-service examinations, research day, match day, graduation; manage logistics including location, room set up, A/V needs, ordering food, program planning, etc. Organize and post curriculum-related materials to Blackboard, including rotation schedules, preceptor assignments, professor presentations, weekly quizzes, multidisciplinary teaching conferences, clinical skills assessments, and handouts. Maintain and update confidential files and records, ensuring that ethical and legal guidelines are maintained. May serve as liaison regarding resident leave, pay source, benefits, health and life insurance, medical licensure applications. Facilitate volunteer and courtesy faculty appointments for new clinical preceptors. Perform other administrative duties as assigned in support of the academic mission of the department.
