Procurement Contracts Administrator
AXG Contracting
Job Description
Job Description
AXG is partnered with a private equity-backed midstream owner/operator seeking an experienced IT Procurement & Contracts Administrator to manage the sourcing, negotiation, administration, and renewal of enterprise software and technology agreements.
This position will serve as a commercial partner to IT leadership and technology stakeholders, with direct responsibility for software procurement, SaaS agreements, licensing, renewals, maintenance agreements, and IT contract administration.
This is a hands-on contracting role. The successful candidate must be able to discuss specific software agreements they have personally negotiated, the contractual provisions they have reviewed or redlined, and how they have partnered with Legal to resolve commercial and contractual issues.
Requirements
Candidates must demonstrate direct, hands-on experience in the following areas:
- Software procurement and SaaS agreements: Personally sourcing and negotiating enterprise software, cloud, subscription, and SaaS agreements
- Software licensing, renewals, and maintenance: Managing licensing terms, subscription structures, maintenance agreements, renewal timelines, pricing changes, and expiration risks
- IT contract administration: Owning technology agreements from intake and review through negotiation, approval, execution, administration, amendment, renewal, and closeout
- Contract redlining and Legal partnership: Reviewing and redlining agreements, negotiating commercial terms with vendors, and working with Legal to resolve contractual risk
General procurement, software asset tracking, license-compliance reporting, purchase-order processing, or vendor coordination alone will not satisfy the requirements of this position.
Key Responsibilities:
- Own the full lifecycle of software and technology contracts, including intake, drafting, review, negotiation, approval, execution, administration, amendment, renewal, and closeout
- Lead commercial negotiations for SaaS subscriptions, software-license agreements, cloud services, maintenance agreements, professional-services agreements, Statements of Work, Master Service Agreements, change orders, purchase orders, and related documentation
- Review and redline vendor agreements in partnership with Legal, addressing provisions such as pricing, renewal protections, licensing rights, service levels, payment terms, confidentiality, data protection, liability, indemnification, termination, and dispute resolution
- Maintain a proactive software-renewal calendar, monitor expiration and notice dates, and begin negotiations early enough to avoid service interruptions, unfavorable automatic renewals, or unnecessary price increases
- Negotiate pricing, discounts, subscription levels, licensing models, usage rights, renewal caps, service commitments, and other commercial protections with software publishers and technology providers
- Partner with IT leadership and technical stakeholders to translate operational and technical requirements into clearly defined contractual terms, deliverables, and service expectations
- Support technology-vendor selection and competitive sourcing through RFPs, RFQs, market evaluations, bid comparisons, and supplier recommendations
- Manage technology-vendor relationships and hold suppliers accountable for contractual commitments, pricing, performance, compliance, and service delivery
- Analyze software and technology spend, identify savings opportunities, consolidate overlapping products, and improve license utilization
- Support budgeting and forecasting by tracking contractual commitments, anticipated renewals, pricing adjustments, and planned technology expenditures
- Maintain accurate agreement, renewal, purchase-order, vendor, and approval information within ERP and contract-management systems
- Monitor contract compliance, resolve vendor disputes, and improve procurement, renewal, and contract-administration processes
Required Qualifications:
- At least three years of direct experience in software procurement, SaaS contracting, software licensing, software renewals, technology-vendor management, or IT contract administration
- Demonstrated ownership of SaaS agreements, software-license agreements, maintenance agreements, professional-services agreements, SOWs, and MSAs
- Experience personally negotiating commercial terms and managing contract redlines in partnership with Legal
- Experience administering software subscription, licensing, maintenance, and renewal lifecycles
- Background supporting an enterprise IT organization, shared-services environment, or IT Center of Excellence
- Working knowledge of SaaS pricing, software-licensing models, cloud subscriptions, maintenance structures, professional services, and technology-vendor commercial terms
- Ability to identify contractual and commercial risks and determine when issues require escalation to Legal, Information Security, Privacy, Finance, or IT leadership
- Strong negotiation, analytical, organizational, and stakeholder-management skills
- Ability to manage multiple contracts, renewals, purchase orders, approvals, and negotiations against firm deadlines
- Clear written and verbal communication skills, including the ability to explain contractual and commercial issues to technical and nontechnical stakeholders
- Bachelor’s degree in supply chain management, business, engineering, accounting, or a related discipline; five or more years of directly relevant experience may be considered in place of a degree
Preferred Qualifications:
- Experience negotiating agreements with enterprise technology providers such as Oracle, Microsoft, SAP, Salesforce, ServiceNow, Workday, AWS, Google Cloud, or comparable software and managed-services vendors
- Experience with Oracle ERP, Oracle Procurement Cloud, Oracle Financials, or a comparable enterprise procurement platform
- Familiarity with contract-lifecycle-management systems and advanced document-redlining tools
- Contract administration, procurement, or contract negotiation certification
- Experience supporting an energy, infrastructure, industrial, or similarly asset-intensive organization
The ideal candidate is a commercially minded IT procurement professional who understands both the contractual details of software agreements and the broader business impact of technology spend. This person will be comfortable challenging vendor pricing, independently negotiating software and SaaS agreements, reviewing and redlining contract language, partnering with Legal on risk allocation, and managing a high-volume portfolio of technology contracts and renewals.
This is an individual-contributor position with the opportunity to serve as a trusted advisor to technology and business leaders across a growing midstream organization.
