Campus Bookstore Site Supervisor

Under the general direction of the District Bookstore Operations Manager, supervises the day-to-day operations at an assigned campus. Assignments for this position will change regularly to ensure proper internal controls. Plans, organizes, and coordinates workflow to maintain consistent levels of service to internal and external clients. Ensures and is accountable for the smooth operation of the assigned campus store. Keeps accurate records for planning, accountability, and records retention purposes, ensuring a sufficient inventory of textbooks along with laptops, and providing efficient and knowledgeable customer service. Supervises Summer Bookstore Workers.

Essential Functions

• Manages the day-to-day operations of Bookstore at assigned site under the direction of the District Bookstore Operations Manager.
• Works with the District Bookstore Operations Manager to establish and carry out state and federal requirements, District policies and procedures which pertain to bookstore operation.
• Operates Point of Sale and is responsible for accurate tracking of cash and digital revenue.
• Completes daily end of periods, check-outs, deposits, and assures all reporting meets requirements and is accurate.
• Conducts sale of school supplies, tickets, locks, etc.
• Collects fees in proper accounts.
• Establishes and maintains current student books and fees files for each student, including 1:1 student laptop checkout, damaged laptops, lost books, and withdrawals.
• Updates all records including student schedule changes, lost books, and withdrawals.
• Assists with entering purchase requisitions and related invoice payment.
• Responsible for ensuring purchases are made within budget limits.
• Continuously analyzes inventory of textbooks and student laptops.
• Maintains accurate financial records for school clubs.
• Prepares refunds for overpayments.
• Ensures that all records are retained accurately in compliance with record retention requirements.
• Ensures that all work is completed in accordance with District policy and applicable state and federal laws.
• Ability to respond to all internal and external customers, in a prompt, efficient, friendly, and patient manner.
• Responsible for requiring and maintaining records for compliance and audit purposes.
• Perform any other duties as assigned by supervisor.

Training and Experience

• High School Diploma.
• Several years of bookkeeping experience and dealing with the public preferred.
• Business background preferred.
• Previous experience in a similar position preferred.

Knowledge Of

• Accounting/bookkeeping.
• General office equipment.
