HIM Coordinator - Critical Access Hospitals [Remote]

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a HIM Coordinator – Critical Access Hospitals based in the United States.

This role supports the integrity, accessibility, and compliance of legal health records across critical access hospital environments.
You will coordinate health information management activities spanning electronic and paper records, release of information, scanning, indexing, auditing, and record retention.
The position combines operational coordination with data analysis, quality assurance, workflow improvement, and regulatory compliance.
You will help ensure protected health information is accurate, available to authorized users, and managed throughout its lifecycle.
The role also provides education and guidance to hospital and clinic teams on documentation, retention, scanning, and health information practices.
Success requires strong organization, attention to detail, sound judgment, and the ability to translate HIM requirements into efficient day-to-day processes.

Accountabilities

• Coordinate and monitor the lifecycle of legal health records, including electronic and paper protected health information, across designated HIM functions.
• Serve as a departmental HIM resource and coordinate special projects focused on legal health records, operational efficiency, compliance, and process improvement.
• Conduct and review quality assurance audits for optical imaging, scanning, indexing, and electronic data-entry activities to maintain the integrity of the legal health record.
• Analyze workflow, productivity, quality, compliance, and volume data to identify trends, operational issues, and opportunities for improvement.
• Facilitate the development and implementation of optimized workflows, procedures, and best practices for HIM operations.
• Coordinate the maintenance of legal health records and related information in accordance with clinical needs, business requirements, and applicable legal and regulatory standards.
• Ensure appropriate policies and best practices are followed for the management, retention, and disposition of records across all media types.
• Coordinate timely and accurate retrieval of protected health information while supporting the overall availability and accessibility of legal health records.
• Review record retention and destruction schedules on an ongoing basis to ensure records are retained and disposed of appropriately.
• Collaborate with HIM, forms, IT, and other stakeholders to ensure appropriate information is available within legal health record print groups and accessible to authorized users.
• Provide education and communication to hospital and clinic employees regarding documentation requirements and appropriate record retention practices.
• Support training related to front-end scanning and documentation workflows to reduce unnecessary back-end scanning.
• Ensure team members are trained in preparation, scanning, and indexing processes and conduct quality reviews to verify compliance and accuracy.
• Provide weekly management reporting on employee quality assurance results and compliance with productivity standards.
• Support the identification, description, organization, and maintenance of organizational information assets.
• Assist with relevant health information initiatives, including electronic health record access, health information network activities, and related operational projects as needed.

Requirements

• High school diploma or equivalent, with at least 2 years of experience in Health Information Management department operations; alternatively, an Associate degree in Health Information Technology, Health Information Management, or another applicable field may qualify.
• A Bachelor’s degree in Health Information Technology or a related discipline is preferred.
• RHIT or CHDA credentials are preferred and demonstrate additional expertise in health information management or health data analysis.
• Strong understanding of legal health records, protected health information, documentation management, retention, disposition, scanning, indexing, and release-of-information processes.
• Ability to conduct or review quality assurance audits and identify documentation, scanning, indexing, or data-integrity issues.
• Strong analytical and problem-solving skills, with the ability to interpret operational information and translate findings into practical process improvements.
• Excellent organizational, time-management, and prioritization abilities, with strong attention to accuracy and detail.
• Effective verbal, written, and interpersonal communication skills, including the ability to educate employees and collaborate with HIM, clinical, administrative, and technical stakeholders.
• Basic mathematical skills and the ability to work with productivity, quality, and compliance data.
• Ability to balance strategic objectives with detailed day-to-day operational requirements.
• Ability to work independently while coordinating projects and maintaining effective relationships across teams.
• Ability to maintain confidentiality and appropriately handle sensitive protected health information.
• Ability to sit for sustained periods and lift, push, or pull approximately 11–20 pounds, with reasonable accommodations where appropriate.
• Willingness and ability to work in a standard office environment when required.
