Monday through Friday, hours 8:30AM - 5:00PM. Position is eligible for a hybrid schedule after 6 months of trainingMedical Secretary IIAs a Medical Secretary II you will provide support within a clinical department with primary responsibility for answering phones, scheduling and managing appointments including appropriate follow-up appointments, and conducting outreach calls on behalf of the clinician. Deliver excellent customer service and strengthen the patient/clinician relationship. Works to improve clinical operations through coordination of contact between team clinicians, patients and referrals outside the unit.Primary ResponsibilitiesAssists patients with referral processing and communication with other departmentsActively involved in MyHealth enrollment by encouraging patients to sign up to MyHealth OnlineAnswers telephones following emergency and department protocols and expediting patient questions. Books same day appointments and relays messages as appropriate. Books MyHealth appointment requestsRun reports from automated appointment confirmation system. Confirms appointments and follows through on cancellations. Reconciles system information with the electronic medical record as neededSorts and distributes clinician mail (may be paper or electronic)Completes paperwork to obtain information from outside doctors, hospitals, health or social service agencies, and insurance agenciesFollows meaningful use guidelines to verify and update patient medical information in the electronic medical record, such as confirming demographic information, medications, allergies and chief medical complaints, and ensuring the EMR patient data is accurate and up-to-dateMay assist with the checkout function, including distributing the After Visit Summary (AVS) and appropriately booking follow up appointments per department guidelinesProvides compassionate front-line customer service and actively works to resolve patient concernsIn a specialty department, makes outreach to patients regarding referrals, scheduling appointments, processing paperwork, and obtaining authorization numbers. Participates in care improvement activities as appropriate, such as Rapid Improvement Events (RIEs), Value Stream Analyses (VSAs), and managing of Daily ImprovementsAssists with basic data collection activities for statistical reports or required studies. Ensures data is properly collected and accurate. Participates in special projects and ongoing programs unique to the departmentMay generate standard correspondence such as letters regarding normal test results or missed appointmentsMay be involved in rollout and implementation of upgrades to the electronic medical recordMay assist with orienting new staff. Provides back-up coverage for other support staff as necessaryMay develop and monitor provider appointment templatesYou'll be rewarded and recognized for your performance in an environment that will challenge you and give you clear direction on what it takes to succeed in your role as well as provide development for other roles you may be interested in.Required QualificationsHigh school education or equivalent experience3+ years of experience in a clinical or customer service setting (a bachelor's degree may be substituted for experience)Epic experienceElectronic medical record (EMR) experience and/or aptitude to master the EMR based on other technology experienceComputer experience with the ability to use word processing and spreadsheet programsPreferred QualificationsDemonstrated leadership skillsDemonstrated excellent problem-solving, multi-tasking, technology-literate skill sets can at times be substituted for medical assistant certification or work experienceDemonstrated attention to detail and problem-solving skillsDemonstrated ability to communicate in a professional and appropriate mannerDemonstrated solid interpersonal, customer service, time management, and organizational skillsPay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $17.71 to $27.41 per hour based on full-time employment.
