Definition of Classification The Alumni Engagement Project Manager provides comprehensive administrative, communications, and programmatic support within Alumni Engagement. Reporting to the Executive Director of Annual Giving and Alumni Engagement, functions as the key support in the coordination, management, and implementation of the operations of the department. This position requires flexibility to work overtime, including weekends, to support events and activities as needed. Duties and Responsibilities Performs a variety of clerical duties in support of the department, including preparing check requests, expense and mileage reimbursements, expenditure and revenue transfers, and purchase orders; processes incoming checks and cash for deposits; orders promotional items and office Processes and maintains event registration records including entering data into the main university informational database, software that powers the Alumni Relations website, and the use of various Microsoft Office May assists the Alumni Association and Town & Gown Boards of Directors by helping to organize the annual retreat, meetings, and Nominations Committee meetings, prepares meeting materials, updates rosters and Board of Directors Uses software to create new landing pages and update existing Monitors website content for quality control, and updates web pages as Utilizes collaborative design tool (Canva preferred) to create and edit collateral, templates, and related marketing Assists in the execution of meetings and events, including but not limited to room reservations, catering services, audiovisual requirements, vendor management, set-up and clean-up. Prepares materials for events, including name tags, check-in sheets, decorations, and promotional Provides budget support; monitors and collects budget Supervises student employees; assigns, reviews, coordinates, and prioritizes workload and Oversees implementation of workflow efficiencies and tools that streamline projects and Creates and oversees the maintenance of policies and procedures for all alumni and community relations Provides exceptional communication support with a high degree of tact and technical knowledge; responds to internal and external requests, prioritizes and processes requests accordingly. Maintains department confidentiality of sensitive data, information, activities, and decisions; adheres to all safety and housekeeping policies and Acts as primary greeter and initial contact for walk-in traffic and answers Performs other duties as required or Qualification Guidelines Any combination equivalent to, but not limited to, the following: Experience / Training / Education High school diploma or equivalent supplemented with two years of additional course work in related fields such as business, secretarial, computer software/word processing and spreadsheet programs including the ability to use database and Microsoft Office software Three years of administrative support experience or related Considerable knowledge of administrative procedures, word processing, spreadsheets, and database software Knowledge and Skills Working knowledge of higher education institutions. Knowledge of administrative procedures, word processing Knowledge of English grammar, spelling, and Excellent verbal and written communication Excellent organizational skills, and detail orientated with high Ability to prioritize tasks, meet deadlines and work independently and with minimal supervision in a fast-paced environment with changing Effective communication skills: ability to write clearly and Effective listening and interpersonal Demonstrate a high degree of motivation, tact, and Basic knowledge of record keeping and record retention Basic knowledge of Basic research Proficiency in computer skills using Microsoft Office Suite including Excel, Word, and PowerPoint. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and comfort. Hiring Range Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range considers the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.
