We are seeking an Office Manager / Administrative Assistant to the Operations Director for a national title insurance company based in Seattle.

Employment Type: Full-Time, Contract-to-Hire

Position Overview

This role supports daily administrative, operational, and office management functions for a high-volume title and escrow office. You will streamline daily office logistics, support title and escrow staff, assist with basic finance and compliance duties, and deliver exceptional service to clients, lenders, and real estate professionals. While a background in title and escrow is preferred, candidates with strong administrative backgrounds from other industries are encouraged to apply and will be fully considered.

Key Responsibilities
  • Oversee daily office operations, vendor relationships, supply inventories, facility maintenance, and expense tracking initiatives.
  • Assist title and escrow officers with file intake, order entry, transaction pipeline tracking, document distribution, and closing coordination.
  • Act as the primary point of contact for visitors, manage phone and email inquiries, schedule executive calendars, coordinate meetings, and maintain digital and physical filing systems.
  • Support accounts payable/receivable, vendor invoice processing, expense reconciliation, administrative payroll tracking, and escrow accounting recordkeeping.
  • Assist management with operational audits, regulatory compliance, data security, fraud prevention, and strict record retention protocols.
  • Assist with onboarding and training administrative personnel, coordinate daily workloads, and foster a professional, collaborative environment.
Qualifications
  • 5+ years of experience in office management, administration, title, escrow, real estate, mortgage, or related professional services. (Candidates without a title and escrow background will still be considered).
  • High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration, Accounting, or Real Estate is preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint). Familiarity with title/escrow production platforms or accounting software (e.g., QuickBooks) is desirable.
  • Excellent organizational and time-management skills, strong attention to detail, effective communication, and the ability to prioritize tasks in a fast-paced, transaction-driven environment.
