Senior Academic Affairs Analyst

The Senior Academic Affairs Analyst is a member of the School of Medicine's Academic Personnel team and provides comprehensive academic personnel support and consultation to faculty, department leadership, and academic administrators.

The position independently manages and advises on complex academic appointments, reviews, recruitments, compensation matters, faculty dossiers, visa-related employment issues, and Health Sciences Compensation Plan (HSCP) activities. The incumbent interprets and applies University, campus, School of Medicine, and collective bargaining policies; counsels faculty and academic leadership; identifies and resolves compliance or procedural issues; and coordinates academic personnel actions from initiation through completion.

The position also supports academic recruitment and onboarding, maintains personnel data and reports, develops procedures and training, and contributes to process improvements that advance the School of Medicine's academic mission.

The salary range for this position is $75,900.00 - $137,300.00 annually. However, the expected pay scale for this position is up to $106,600.00 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.

Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff. As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

This is a hybrid position consisting of three days on-site at the UCR main campus and two days remote.

Educational Requirements

Bachelor's degree in related area and/or equivalent experience/training. - Required

Master's degree in related area and/or equivalent experience/training. - Preferred

Experience Requirements

4 - 7 years of related experience. - Required

Previous related work experience in academic personnel at a UC Medical School. - Preferred

Knowledge and experience working with UCR academic policies, procedures and business systems. - Preferred

Minimum Requirements

Requires in-depth knowledge of and ability to apply/interpret organization and college policies and procedures which govern academic HR.

Excellent critical and innovative thinking to address complex issues and present nuanced analyses.

Thorough knowledge of systemwide and organization policies, union contracts, procedures and practices that govern academic HR administration.

Thorough knowledge of organization and college goals, priorities and values and the legal and human implications of decisions.

Ability to analyze complex management issues; develop project scope and solutions, give professional advice to senior officials and make critical decisions regarding personnel.

Knowledge of trends in academia, especially in areas of academic planning, human resource management and administration.

Working knowledge of academic personnel dossier preparation.

Interpersonal skills to establish and maintain effective working relationships with academic administrators, faculty, staff, co-workers and students, and to interact with individuals from the community at large.

Ability to work independently and follow through on assignments with minimal direction.

Ability to maintain a strict level of confidentiality.

Advanced writing skills to compose clear, concise and grammatically correct correspondence, minutes and reports. Proofreading skills to edit typewritten materials for proper spelling, grammar, punctuation and syntax.

Oral communication skills to communicate effectively with persons at all levels of the organization and using appropriate vocabulary to obtain and convey information, explain policies and procedures, or to persuade others to accept or adopt a specific opinion or action.

Skill in organizing and maintaining effective record-keeping systems of various levels of volume and complexity.

Demonstrated skill in operating a personal computer utilizing word processing, spreadsheet, email, internet software and for data entry purposes. Proven proficiency with Microsoft applications including Word, Excel, Outlook and PowerPoint.

Department Custom Scope

Serves as the School of Medicine's senior academic personnel analyst, providing expert consultation and operational leadership for a broad range of academic personnel functions. Independently administers and advises on complex academic appointments, recruitments, merits and promotions, compensation, faculty dossiers, visa-related employment matters, and Health Sciences Compensation Plan (HSCP) activities. Interprets and applies University, Academic Personnel Office, School of Medicine, and collective bargaining policies to ensure compliance and resolve complex academic HR issues. Partners with faculty, department leadership, and campus stakeholders to facilitate academic personnel actions, coordinate faculty recruitment processes, maintain academic personnel data and reporting, develop procedures and training, and recommend process improvements that support the School of Medicine's academic mission.

Key Responsibilities

Analyzes merit and promotion cases for faculty. - 20%

Facilitates/manages the academic review processes, identifying issues relating to policy and compensation. Analyzes proposed academic actions to determine potential problems or complications. Determines annually the academic appointee eligibility for all academic actions. Process and reviews academic dossiers to ensure compliance with academic personnel policies/procedures. Evaluates dossiers to ensure that all documentation is provided by the Chair to the Dean and is accurate and appropriate. - 15%

Provides strategic advice and counsel to unit head by analyzing and interpreting system-wide and organization policies, collective bargaining agreements, academic personnel procedures and practices. - 15%

Counsels Senate and non/Senate faculty and other academic staff concerning moderate to complex work-related problems. - 15%
