HR Benefits Administrator

Summary This is a full-time position working in the human resources benefits department. Duties include but are not limited to providing conducting presentations, enrollment and explanation of benefits to all employees at all levels of the company. Additional duties may include assistance with other areas in human resources department. Essential Duties and Responsibilities Determine, verify, and maintain employee eligibility for health, dental, vision, life insurance, 401(k), and other company benefit programs. Prepare, reconcile, and submit weekly and monthly health insurance eligibility reports, including employee enrollments, changes, and reinstatements, while ensuring accurate coverage and premium deductions. Generate and review weekly reports to reconcile and update health insurance eligibility history, ensuring accurate records and coverage information. Administer benefit enrollments, changes, terminations, and open enrollment while ensuring compliance with Summary Plan Documents, Company policies, HIPAA, and applicable laws and regulations. Explain and promote company benefit programs to employees through one-on-one assistance, orientations, presentations, and benefit meetings. Process, maintain, file, and scan enrollment forms; distribute health insurance cards; and maintain accurate benefit records and related documentation. Enter benefit enrollment, change, and termination forms in the system and submit required documentation to insurance carrier while ensuring accuracy and timely processing. Coordinate benefit offerings by traveling to company locations and crew sites as needed. Maintain accurate benefit and leave-related records and reconcile benefit administration activities. Process garnishments accurately and timely. Stay informed of benefit trends, regulatory changes, and industry best practices applicable to the workforce. Provide exceptional customer service to employees, supervisors, forepersons, applicants, vendors, and visitors by responding professionally and promptly to benefit-related inquiries. Assist with Foreman Training, New Hire Orientation, and employee benefit education. Collaborate effectively with Human Resources, H2A, Payroll, Safety, DOT, Accounting, managers, forepersons, insurance carriers, and vendors to ensure efficient benefit administration. Manage daily workload to meet established performance metrics and deadlines. Assist the Benefits Coordinator with benefit-related tasks and projects. Perform other duties as assigned. Proficient with Microsoft Office Suite. Proficiency with, or the ability to quickly learn, the Company's HRMS and record retention applications. Valid driver’s license, acceptable and insurable driving record under company policy. Ability to handle confidential and sensitive information while maintaining professionalism and discretion when interacting with employees, vendors, and other business partners. Ability to work independently with minimal supervision. Knowledge of office procedures, practices, and equipment. Ability to identify opportunities and develop procedures to improve workflow efficiency. 10-key by touch. Your Education and Experience At minimum, an Associate Degree in Human Resources, or a related field, desired. At least 1 year of human resources and benefits in the agriculture industry preferred, that would provide the level of knowledge and ability required for the position. Your Language Skills Must have the ability to communicate effectively and a professional manner with all Company employees, including general labor, administrative, supervisory and management employees and external stakeholders. Bilingual proficiency in English and Spanish is required. Your Mathematical Skills Must have the ability to add, subtract, multiply, and divide; apply concepts of basic algebra; and interpret graphs, charts, and tables. Other This position requires 30% travel to Yuma, Arizona, and other company locations. This position may require flexibility to work outside normal business hours, weekends, based on business needs. Physical Requirements and Work Environment Continuously (67-100%) Prolonged periods of sitting at a desk and working on a computer. Ability to operate a computer, calculator, copier, and other office equipment requiring repetitive hand and arm movements. Ability to enter data by touch, hear computer alarms, and respond appropriately to system errors. Ability to manage multiple tasks and work effectively in a fast-paced environment with frequent interruptions. Ability to communicate with staff members orally, by telephone, email, or in person. Ability to interact professionally with employees, customers, vendors, and visitors. Ability to perform activities requiring reaching, stooping, pulling, pushing, and manual dexterity. Ability to use standard office equipment, including computers, printers, and other related equipment. Frequently (34-66%) Ability to sit, stand, walk, bend, and perform routine office activities for extended periods. Ability to visit all Company work areas, including offices, fields, shops, and other locations. Ability to drive for extended periods of time, as needed. Ability to work outdoors, including walking and sitting in fields under various weather conditions. Occasionally (6-33%) Ability to perform light to moderate lifting (up to 40 pounds). Ability to travel by air to destinations as necessary. Ability to stay in hotels or motels for extended or indeterminate periods, as needed.
