Executive Assistant, Department of Ophthalmology, Full Time Bascom Palmer Eye Institute Miami, FL

UHealth – University of Miami Health System, Bascom Palmer Eye Institute, is seeking a full‑time Executive Assistant to support top‑level leadership (Assistant VP and above) and related functional areas in Miami, Florida. Responsibilities Serve as executive liaison, advising others of the executive’s activities and views on policies or issues, using judgment and discretion. Manage the executive’s calendar, approving/declining meeting requests and ensuring schedule alignment with priorities; reschedule or cancel competing high‑level meetings as needed. Handle travel arrangements and budget management for the executive. Independently create memos, reports, presentations, project timelines and documents for distribution to various departments or stakeholders. Prepare the executive for meetings and presentations, ensuring timely dissemination of important information. Respond on behalf of the executive to correspondence and electronic communications, maintaining confidentiality. Prioritize and manage multiple projects and special assignments championed by the executive. Lead planning of annual or ad‑hoc special events. Train and supervise lower‑level clerical staff as necessary, while adhering to University and unit‑level policies and safeguarding assets. Qualifications Associate degree in a relevant field. Minimum 5 years of relevant experience. Learning agility: ability to learn new procedures, technologies, and protocols and adapt to changing priorities. Teamwork: ability to work collaboratively and contribute to a team environment. Technical proficiency in office software, technology, and relevant computer applications. Strong written and verbal communication skills for interacting with colleagues and stakeholders.
