Position Overview

We are seeking an experienced Project Account Coordinator to support domestic and international project logistics operations. This position will coordinate complex freight movements, including high-wide, over-dimensional, OOG, and turnkey project cargo, while providing exceptional service to customers and maintaining accurate operational and financial documentation.  The ideal candidate will have a minimum of four years of freight forwarding experience and a solid understanding of multimodal transportation, import/export procedures, carrier coordination, pricing, and project shipment execution.

Key Responsibilities

Set up and coordinate high-wide, over-dimensional, OOG, and turnkey project shipments.

Coordinate transportation utilizing air, ocean, trucking, rail, barge, and other specialized transportation services.

Make transportation bookings and coordinate pickups, deliveries, and dispatch requirements.

Communicate with customers throughout all stages of the shipment.

Respond promptly to customer, vendor, and internal team communications.

Develop responses to RFIs and RFQs from existing and prospective customers as assigned by project management.

Obtain multiple transportation/service options and corresponding pricing whenever available to evaluate the best solution for the customer.

Analyze service, pricing, transit time, and operational requirements and recommend appropriate transportation solutions.

Clearly communicate the rationale behind recommended transportation solutions to customers and project management when requested.

Coordinate and negotiate with carriers, subcontractors, vendors, and other service providers.

Develop and maintain strong customer, carrier, supplier, and subcontractor relationships.

Maintain and support the existing customer base through strong operational execution and customer service.

Open, maintain, reconcile, and close project files in accordance with departmental and company procedures.

Maintain organized shipment files with supporting correspondence and documentation.

Ensure project files contain required financial documentation, including:

P&L documentation

File reconciliation

Worksheets

Job cost analysis

Revenue and expense documentation

Supporting correspondence

Obtain foreign and vendor invoices promptly and approve or dispute charges as necessary.

Work toward quick resolution of invoice discrepancies to minimize accounting reconciliation issues.

Review invoices, shipping documents, and manifests for compliance with applicable tariff and customs requirements.

Prepare shipment and transaction reports to support customer billing and carrier reconciliation.

Meet established departmental and company KPI requirements.

Communicate concerns or uncertainties to project management and request assistance when necessary.

Assist team members and provide operational coverage during absences or vacations.

Maintain communication with vendors and carriers and participate in meetings to evaluate available services and capabilities.

Requirements

Minimum 4 years of freight forwarding experience required, preferably within project logistics.

Experience coordinating project cargo, high-wide, over-dimensional, or OOG shipments strongly preferred.

Working knowledge of domestic and international transportation, including multiple transportation modes.

Solid understanding of import/export freight forwarding operations.

Experience working with carriers, vendors, subcontractors, and international partners.

Experience obtaining and comparing transportation rates and service options.

Understanding of shipment costing, file reconciliation, revenue, and expenses.

Strong customer service and client relationship skills.

Excellent communication, negotiation, problem-solving, and organizational abilities.

Ability to manage multiple priorities and meet deadlines on short notice.

Ability to perform effectively in a fast-paced, high-profile project environment.
