The UCSF Department of Ophthalmology is one of the leading ophthalmology departments in clinical care, training, and research nationwide. It is one of the largest recipients of federal grant funds, ranked 1st in National Eye Institute Funding and 2nd in overall NIH funding. The department holds nearly 60 active research grants and has recently opened the Wayne and Gladys Valley Center for Vision at Mission Bay, where many eye care programs and research facilities are housed. Job Summary This position serves as the Fellowship Coordinator for Non‑ACGME Clinical Fellowships, Continuing Medical Education (Grand Rounds), and support for the UCSF Proctor Clinician Vision Scholars K‑12 program. The Education Department includes Continuing Medical Education, Medical Student Education, and Residency and Fellowship Programs. The Coordinator partners with Program Directors to ensure all education programs run smoothly and efficiently. Responsibilities include GME appointments and Medical Staff credentialing; coordinating the monthly grand rounds series; recruiting and interviewing fellows; updating the department website; managing meetings, reimbursements, expense reconciliation, purchasing, and correspondence. Responsibilities Maintain program files and data, including learner files and accreditation documentation. Ensure administrative, financial, and operational compliance with accreditation standards, university policy, and regulatory requirements; prepare and submit reports. Act as point person for learners and stakeholders, answering questions and disseminating information. Assist with logistics and coordination for recruitment, orientation, graduation, conferences, and other educational activities. Create learner assessment documentation and generate regular progress and assessment reports. Develop program and curricular evaluation documentation and produce evaluation reports. Assist in projecting costs, monitoring budgets, and financial tracking of programs; process learner reimbursements. Foster collaboration among health professions education programs; participate in work groups, teams, and committees. Maintain program communication resources, including the program website, brochures, syllabi, and email lists. Support operational components of learner employment such as HR onboarding, appointment paperwork, credentialing, training grant management, payroll, benefits, leave advising, and Medicare reimbursement reporting. Troubleshoot educational technology and systems issues; monitor user experience. Assist with projects to improve educational or administrative operations. Qualifications Bachelor's degree in a related field and at least one year of experience, or equivalent combination of education and experience. Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of the health professions education industry. Basic knowledge of administrative analysis and operations research; ability to develop and implement processes and systems. Excellent verbal, written, active listening, and communication skills; service oriented and responsive. Demonstrated interpersonal skills and ability to develop working relationships. Excellent organizational, analytical, and attention‑to‑detail skills; ability to manage complex faculty calendars. Knowledge of educational technology and systems; ability to troubleshoot and triage related issues. Investigative, data analysis, and reporting skills; proficiency in generating and maintaining electronic reports and data. Preferred Qualifications Experience in a large institution with a high level of understanding of academic processes, specifically fellowship and/or continuing medical education programs. Experience with a Graduate Medical Education Office (GME). Experience with credentialing through a Medical Staff Office. Understanding of immigration visa processing (J‑1, H‑1B, etc.) and knowledge of visa guidelines, procedures, and regulations.
