Job Summary The UCSF School of Dentistry Education Programs Administrator oversees and manages the admissions process for the DDS/PhD program, the Cell and Tissue Biology PhD program, and the Research Fellowship Program. This role serves as the primary point of contact for DDS/PhD applicants, guiding them through application requirements, deadlines, interviews, and onboarding. Responsibilities include reviewing application materials for completeness, scheduling interviews and assessments, maintaining accurate applicant records, and collaborating with faculty, admissions committees, and administrative staff to ensure a smooth and efficient admissions workflow. The Education Programs Administrator also supports the Oral and Craniofacial Sciences PhD and DDS/PhD programs with direct educational administrative support, student advising, and other functions. The Program Administrator also supports the Student Research Fellowship program and its learners and events and works directly with the Associate Dean of Education on special projects and educational initiatives at both the predoctoral and doctoral levels. We offer a four‑year DDS program as well as a two‑year program for international dentists that culminate in the DDS degree. We have numerous specialty residencies, PhD and Master's degree programs in Oral and Craniofacial Sciences, a combined DDS‑PhD program, and a combined PhD‑dental specialty training program. Other graduate programs include Craniofacial and Mesenchymal Biology and Bioengineering, and a DDS/MBA program. Responsibilities Oversee and manage the admissions process for the DDS/PhD, Cell and Tissue Biology PhD, and Research Fellowship programs, serving as the primary point of contact for applicants and guiding them through requirements, deadlines, interviews, and onboarding. Work with program managers, faculty, and admissions committees to develop and implement program competencies, curriculum, exams, and assessment strategies, ensuring compliance with CODA and UCSF regulations. Manage program files and data, maintain meticulous learner records, create reports, and ensure documentation meets regulatory and funding requirements. Monitor learner files and program documentation, identify barriers to academic success, provide referrals or advocacy as needed. Serve as the primary point of contact for applicants and current learners, answer inquiries, resolve ad‑hoc issues, advise on planning and completion of studies, and foster a culture of belonging. Plan, execute, and budget logistics for program events such as interviews, orientations, graduations, and conferences, and produce reports and evaluations. Collaborate with faculty to develop learner assessment documentation, implement assessment strategies, analyze performance data, assist in accreditation self‑study, and report educational outcomes. Conduct program and curricular evaluations, identify recurring learner concerns, and recommend process changes to improve learner experience. Act as liaison between programs, departmental administration, and university stakeholders; participate in committees and working groups; develop and maintain program communication resources including website updates and marketing materials. Analyze the user experience of educational technologies (Canvas, assessment platforms), troubleshoot workflows, and identify technology improvements. Apply project‑management principles to achieve academic goals, lead education projects, coordinate cross‑functional initiatives, and manage timelines and deliverables. Required Qualifications Bachelor's degree in a related area and/or equivalent experience or training. 3+ years of related work experience. Thorough knowledge of relevant policies, regulatory requirements, and health‑professions education program requirements; ability to develop and implement processes and systems. Demonstrated excellence in oral and written communication skills, active listening, and critical thinking. Strong interpersonal skills, empathy, ability to work productively with diverse colleagues, and strong problem‑solving skills. Excellent organizational, analytical, and attention‑to‑detail skills; ability to meet deadlines and manage competing priorities. Proficient knowledge of educational software and platforms, including analysis and enhancement of user experience. Proficient knowledge of data management, documentation, and statistical analysis of educational data. Preferred Qualifications Master's degree in a related field.
