Job Title Assistant Property Manager (CRE) Job Description Summary The Assistant Property Manager assists in all areas defined as part of the Sr. Assistant Property Manager job description, and performs property administrator duties when no property administrator is available. The role maintains professionalism and fosters positive relationships with tenants and clients. Responsibilities Provide full administrative support: phone support, typing, reports, filing and distribution of correspondence; coordinate office supplies when no property administrator is present. Assist in lease administration, abstracting leases and keeping the database current. Prepare and maintain property files in an orderly manner, including leases and contracts. Prepare and coordinate bid proposals and service contracts. Obtain aging reports for management and follow up on delinquencies using C&W or client‑directed policies. Process invoices in accounting with appropriate backup and according to established procedures. Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick‑up. Oversee maintenance of work order and purchase order systems. Responsible for aspects of development and maintenance of a comprehensive Tenant Service Package (handbooks, anniversaries, holiday gifts, park events, newsletters, training meetings). Maintain current tenant information in the database. Update and maintain office procedures in the Property Operation’s Procedure Manual under manager direction. Ensure Certificates of Insurance for tenants and vendors are current. Oversee processing of staff hours, expense reports, and check requests for review and approval. Process standard tenant bill‑backs for electrical usage, after‑hours HVAC, and other charges promptly. Assist supervisor with annual budget preparation and monthly financial reports; assist with bank deposits if processed onsite. Lead regular inspections of properties with janitorial, landscape, and other service providers as directed. Participate in performance oversight of all service contractors. Experience At least 1 year of real estate property management or related experience. Additional Eligibility Qualifications Proficiency in Microsoft Office Suite. Demonstrates initiative and sense of urgency by meeting or improving upon deadlines. Work Environment This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Employees regularly travel between properties in varying weather conditions. Physical Demands Employees may need to travel between floors and buildings, climb stairs, and may be required to remain stationary (sit or stand) for 85% of the time and operate office machinery.
