We specialize in inspection, service, restoration, installation, and masonry repair. We are looking for a highly organized Project Operations Coordinator (POC) to help keep projects moving efficiently from approval through completion. Once a project is approved, this role helps guide it through scheduling, material coordination, documentation, and customer communication. The POC works closely with the Operations Manager and field technicians to ensure projects are organized, prepared, and executed smoothly. Responsibilities

Project Coordination

The Project Operations Coordinator helps ensure projects move forward efficiently after sales approval. This includes coordinating scheduling, confirming project readiness, and maintaining communication between the office, technicians, and customers.

• Manage project workflow from sales approval through completion
• Coordinate project scheduling (inc project readiness and deposit collection)
• Communicate project details/updates between sales, customers, and field teams
• Track project progress and identify potential coordination issues
• Verify materials lists and delivery times to support project staging
• Site visitation to ensure quality outcomes, customer satisfaction, and positive team morale

Project Administration

This role helps maintain accurate project documentation and ensures important operational details are organized and complete. Strong attention to detail helps support smooth project execution and billing.

• Review technician paperwork and job documentation
• Monitor technician timesheets related to projects
• Ensure project documentation is complete and organized
• Assist with project closeout and coordination with billing

Purchasing

This role helps ensure projects have the materials and equipment needed to move forward on schedule. Attention to detail and coordination with suppliers helps prevent delays and maintain organized purchasing records.

• Order materials, venting, equipment, and specialty components
• Coordinate with vendors and suppliers
• Track purchase orders and delivery timelines
• Verify order accuracy and maintain purchasing documentation

Safety Program Coordination

Safety is one of Chimney Cricket's core values. This role helps coordinate and maintain the company's safety program by keeping documentation organized, supporting training efforts, and ensuring safety processes remain active across the team.

• Maintain company safety documentation and records, including incident reports and OSHA logs
• Coordinate safety meetings, training sessions, and toolbox talks
• Track technician safety certifications and training requirements
• Maintain safety documentation such as SDS binders and equipment records
• Assist with incident documentation and coordination with safety consultants when needed

This role supports the Operations Manager in maintaining a strong safety culture across the company.

Required Qualifications

• Minimum 2 years of experience in project coordination, project management, construction operations, field service operations, or a similar role
• Experience coordinating multiple active projects involving scheduling, materials, subcontractors, field crews, or customers
• Strong organizational skills with the ability to manage competing priorities and deadlines
• Comfortable communicating with customers, vendors, technicians, and management
• Proficient with business software, project tracking systems, and Microsoft Office or Google Workspace

Preferred Qualifications

• Construction, home services, remodeling, HVAC, roofing, chimney, fireplace, masonry, plumbing, electrical, or related industry experience
• Experience with purchasing, inventory coordination, or material procurement
• Experience supporting safety programs, OSHA documentation, or compliance initiatives
