Responsibilities

• Greet customers warmly upon arrival and assist with check-in procedures in a professional manner
• Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
• Schedule appointments and coordinate repair timelines using office management software and calendar tools
• Handle client communication via phone, email, and in-person interactions with clarity and professionalism
• Maintain accurate records of customer information, repair orders, and service details through data entry and filing systems
• Support administrative tasks such as filing, proofreading documents, managing correspondence, and organizing paperwork
• Utilize Microsoft Office Suite (Word, Excel) and Google Workspace applications for daily documentation and communication needs

Skills

• Bilingual abilities are highly valued to effectively communicate with diverse clients
• Proven office management experience with strong organizational skills and attention to detail
• Proficiency in Microsoft Office (Word, Excel), Google Workspace, and computer literacy for various administrative functions
• Prior office or clerical experience with familiarity in data entry, filing, proofreading, and document management
• Excellent customer service skills with a friendly demeanor and strong client communication abilities
• Experience handling multi-line phone systems, phone reception duties, and maintaining professional phone etiquette
• Knowledge of QuickBooks or bookkeeping experience is a plus for supporting billing or invoicing tasks
• Strong time management skills to prioritize tasks efficiently in a fast-paced environment
