Project Assistant, Renewables Division

Overview The Project Assistant (PA) for the Renewables Division supports project managers to maintain data integrity, document management, and best practices across billable and non‑billable projects. The role offers opportunities for project management training and development. Responsibilities Maintain accurate data within the Deltek Vantagepoint database system, including project set up, reporting, and auditing. Collaborate with Corporate Services and Project Managers on contracts, proposals, and prequalifications. Coordinate proposal production and proofread proposals and reports. Track project performance using tools and reports as directed. Process work orders, task orders, and statements of qualification, including tracking compliance items and finalizing signatures. Provide document backup for invoicing and collections. Organize stakeholder meetings, document proceedings, and follow up on action items. Perform transmittals, printing, scanning, and other administrative tasks. Support professional staff with licensure efforts and state compliance requirements. Success Measures Ensure data integrity in Deltek Vantagepoint. Complete tasks timely and accurately. Demonstrate initiative and coordinate support with project managers. Achieve project manager and team satisfaction. Required Skills and Qualifications Bachelor’s degree preferred or equivalent experience and training. Effective written communication skills. Detail‑oriented with strong organizational ability. Capacity to manage multiple assignments independently and set priorities. Proficient in Microsoft Office Suite. Ability to communicate with employees at all levels. Preferred Skills and Qualifications Experience in professional services, renewable energy industry, or contract support. Familiarity with VantagePoint data entry and best practices. Knowledge of licensing processes and requirements. Experience with project management software and generating progress reports. Familiarity with accounts receivable coordination and client accounting. Location Westwood office in Westwood. Closing Date Closed on or before 1 July 2026. Salary $24‑28 per hour.
