Job Title: Concierge / Receptionist Job Description

The Concierge / Receptionist provides professional front desk and general office support, serving as the first point of contact for customers, guests, and employees. This role focuses on creating a positive first impression, delivering outstanding customer service, managing incoming calls, coordinating mail and courier services, and supporting facility operations with a strong emphasis on organization, communication, and security badging.

• Greet customers, guests, and employees in a warm, professional manner to create a positive first impression.
• Provide visitors and employees with accurate information, clear directions, and timely assistance.
• Issue and manage security badges for visitors and employees, ensuring proper access control procedures.
• Answer incoming calls promptly using the company’s call-handling protocol and transfer calls to the appropriate departments or individuals.
• Manage and direct mail and courier deliveries, including coordinating pick-up and delivery and confirming receipt with the appropriate parties.
• Resolve mail and courier-related issues in a timely and professional manner.
• Support the Facility Manager and Facility Coordinator with clerical and administrative tasks as needed.
• Respond to basic client and general inquiries and escalate more complex questions to the appropriate contacts.
• Maintain a clean, organized, and safe reception and workspace area at all times.
• Comply with all facility policies, procedures, and standards.
• Participate in facility programs and initiatives with a commitment to continuous learning and professional growth.
• Work closely with security teams to support building access, customer service, and safety procedures.
• Answer incoming calls for the organization, including calls that roll over from the call center, ensuring they are handled efficiently and courteously.

• At least 1 year of proven work experience in facility or property administration within the commercial real estate industry.
• High school diploma or equivalent.
• Strong customer service skills with the ability to build positive relationships with visitors, clients, and colleagues.
• Excellent organizational skills with the ability to manage multiple tasks and priorities.
• Strong interpersonal and verbal communication skills.
• Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, mapping tools, and database software.
• Working knowledge of audio-visual equipment located in conference rooms.
• Ability to lift files, open filing cabinets, and bend or stand as necessary to perform daily tasks.

• Experience in a front desk, concierge, or reception role in a professional environment.
• Demonstrated ability to deliver high-quality customer service in a fast-paced setting.
• Comfort working closely with security personnel and following established security protocols.
• Willingness to participate in ongoing training and development to enhance professional skills.

This role operates on-site during core business hours of 8:00 a.m. to 5:00 p.m., with occasional shifts from 9:00 a.m. to 6:00 p.m. The position is based in a professional office environment with on-site parking available. The work is heavily focused on customer service and security badging, requiring frequent interaction with visitors, employees, and security staff. The Concierge / Receptionist works closely with security teams and handles calls for the organization, including calls that roll over from a call center to the front desk. The workspace includes standard office equipment, computers with Microsoft Office and related software, and conference rooms equipped with audio-visual technology. The role requires maintaining a neat, organized, and safe front desk and office area, with a professional appearance appropriate for a corporate environment.

This is a Contract to Hire position based out of Redwood City, CA.

The pay range for this position is $25.00 - $28.00/hr.

This is a fully onsite position in Redwood City,CA.
