Legal Senior Onsite Service Specialist

Legal Senior Onsite Service Specialist Provides direct hands‑on support within a legal office environment setting. Performs various office support tasks—including copy, production, and scanning, fax, mail and shipping, records support, direct floor support, hospitality assistance, conference room set up and scheduling, receptionist backup, and light facilities support. Must possess a high level of presentation skills, interpersonal etiquette, and customer service skills to communicate with senior level attorneys, partners, clients, opposing counsel, vendors, staff, and others. Reports directly to a Site Manager, Site Supervisor, or an Assistant Site Manager. Responsibilities Possess legal background to understand client matter workflow (e.g., charging back to firm or clients for work, supplies, hours). Familiar with legal technologies and software such as document management systems, cost recovery and charge back systems (Copitrak/Equitrac, etc.). Understand legal records management processes and document types—closing binders, depositions, transcripts, briefs, addendums, filings, discovery, judgments, court systems, proper delivery procedures. Assist with scheduling needed equipment, labor, and supplies for off‑site trial(s). Interact and provide professional level support to executive‑level end users (legal assistants, firm administration, project managers, paralegals, associates, partners). Accurately produce jobs and projects according to required deadlines. Run all copier equipment—high‑volume copy machines, fax services, postage meter, personal computer. Perform tasks and utilize equipment such as paper cutter, hole driller, bindery, jogger, tape machine, stackers, electric stapler. Handle time‑sensitive confidential documents. Provide quality and accurate reproduction, scanning, or project work. Respond to customer inquiries, coordinating and calculating time required. Support specific floors or integrated practice groups. Coordinate off‑site projects. Maintain logs for billing and calculating charges for work performed. Maintain logs and work records for tracking, management reports, inventory, ordering of supplies. Distribute incoming mail and packages to designated drop points and office supplies and fax transmissions. Deliver completed reproduction work to predetermined delivery areas; may require travel between offices or locations. Perform duties related to shipping and receiving of materials and packages. Perform filing duties (purging, archiving old documents). Perform scanning, file conversion, file naming, encryption. Perform FTP transfers for printing. Manage Table of Contents for electronic files. Execute OCR files for keyword search. Format files for printing in Microsoft Office Suite and Adobe Acrobat Pro. Conduct daily quality checks on copiers, respond to errors, clear paper jams. Maintain daily meter and service logs; stock and organize copier areas. Straighten, organize, and manage conference and meeting rooms. Assist facilities with office moves and occupant moves; light maintenance duties; occasional cleaning duties. May require periodic overtime on nights and weekends, including off‑hour emergency response. Perform other duties as assigned. Qualifications High school diploma or GED and 1–2 years of related work experience. Minimum 2 years’ experience in the legal industry preferred. Excellent customer experience with strong customer service, personal and communication skills. Violation‑free valid driver’s license and minimum auto insurance coverage per RICOH policy may be required. Knowledge, Skills and Abilities Working knowledge of copier and related equipment; repair preferred. Ability to utilize hardware and software to support cost recovery, document management, and advanced workflow. Knowledge of shipping/receiving procedures; basic electronics knowledge preferred. Ability to work independently, determine correct method and packing material, check packing slips for accuracy. Ability to comprehend instructions in manuals, parts books and technical publications. Excellent problem‑solving and troubleshooting skills. Strong customer relations and verbal communication skills. Working Conditions and Physical Demands Frequent exposure to copier/fax machine noise, toner, temperature changes, paper cuts. Exposure to various weather conditions when walking between buildings; risk of injury or accidents. Daily telephone/in‑person contact with customers, employees, managers, dispatch, vendors, repair personnel. High‑stress levels due to tight deadlines and quick turnaround times. Physical effort including standing, walking, bending, reaching, stretching, climbing; lifting up to 50 lbs; moving machines up to 400 lbs; walking between buildings may be necessary.
