Department Information About The College of Engineering: The College of Engineering (COE) is one of the largest producers of engineers in the country, offering more than 50 different degree tracks at the bachelor's, master's, and doctoral levels. It incorporates eight engineering schools, consistently ranked among U.S. News & World Report’s top 10. The College has built a strong reputation in the United States and abroad, and graduates leave with skills, knowledge, and global savvy for a world increasingly dependent on engineering. Job Summary The Director — Strategic Operations oversees strategic initiatives and operations in support of a college or department. This position advises senior/executive leadership on a wide variety of administrative issues, sets and assesses administrative workload allocations and priorities, represents the college/department on committees, task forces, and working groups, and actively facilitates seamless communication between unit executives and internal/external partners. The Director is responsible for setting employee goals, assessing employee performance, providing feedback, and making pay recommendations. The Director supervises assigned staff. Responsibilities Direct, plan, and administer the day‑to‑day administrative operations of a college or department; advise senior/executive‑level leadership in presenting critical issues; serve as liaison between senior/executive leadership and other Institute entities. Oversee short and long‑range planning for administrative services operations and improvements to processes; establish and recommend changes to policies, procedures, and programs. Identify and facilitate cross‑functional workgroups to develop, deliver, operationalize, document, and support projects and solutions; lead and/or manage business improvement processes and strategic initiatives. Coordinate and oversee administrative support staffing needs and training; supervise administrative staff and establish administrative workload allocations and priorities; determine resources needed to meet administrative operational goals. Develop KPIs and metrics, monitor achievement, and establish program goals related to customer satisfaction, engagement, and outreach. Gather, analyze, and summarize data/metrics to improve service, soliciting ideas for improvements, additional service offerings, and communication suggestions. Oversee planning and administration of high‑level/high‑impact meetings and events; represent senior leadership on committees, task forces, and working groups; lead and manage senior leadership search and review processes. Develop, prepare, and maintain comprehensive program budgets in relation to staff engagement and development initiatives and events. Develop, coordinate, and implement project plans to support college or department initiatives to improve operations and administrative functions. Perform other job‑related duties as assigned. Educational Requirements Required Qualification: Bachelor’s Degree or an equivalent combination of education and experience. Experience Requirements Required Experience: Six to eight years of job‑related experience. Preferred Qualifications Demonstrated experience providing administrative leadership and executive‑level support within a higher education environment. Proven success in designing and implementing large‑scale staff wellness, engagement, and recognition initiatives. Experience coordinating strategic, high‑impact events for external advisory boards, executive committees, and senior leadership audiences. Strong facilitation and presentation skills, including leading group discussions and delivering presentations to large and diverse audiences. Expertise in planning and executing complex, large‑scale events, including those with international participants. Experience managing staff performance, including setting goals, providing ongoing feedback, supporting professional development, and addressing performance concerns. Abilities Strong ability to manage and maintain effective working relationships with diverse populations and perform and effectively make important decisions under pressure. Advanced knowledge of business standards, principles, and methodologies; compliance policies and procedures; working knowledge of OneUSG and Workday; and federal and state laws, institute policy, and regulations. Expert in written and verbal communication, analytical thinking, people management, problem‑solving, customer service, organization, strong attention to detail, interpersonal relationship building, budget planning, and creativity. Provide executive‑level administrative support to the Dean of Engineering, including: Calendar and schedule management Preparation of meeting materials Coordination of travel and itineraries Support related to service on external boards Job Duty 2: Senior Leadership & Governance Support Develop agendas and secure speakers for regular Senior Staff meetings and CoE Cabinet meetings. Plan and coordinate the CoE Cabinet retreat. Plan and execute bi‑annual External Advisory Board meetings. Job Duty 3: Academic & Administrative Review and Search Processes Manage and coordinate the following processes: Annual performance reviews for Associate Deans and School Chairs Five‑year administrative reviews for Associate Deans Five‑year reviews for School Chairs School Chair search processes Associate Dean search processes Job Duty 4: Engagement, Culture, and Development Initiatives Plan and execute quarterly Dean’s Office team‑building activities. Plan and execute staff engagement and development initiatives, including the annual Staff Appreciation Day and Staff Engagement Day. Coordinate the College of Engineering staff awards process. Manage staff development initiatives, including: SOAR (Staff development program) PROPEL (Manager development program) Coordinate College of Engineering Cares Committee meetings, newsletter communications, and related initiatives. Job Duty 5: Committee & Council Participation Serve as an ex‑officio member of the following: CoE Culture & Community Council CoE Staff Culture Advisory Council Job Duty 6: Student Engagement & Partnerships Identify students and coordinate meetings with the Dean and Associate Dean for Academic Affairs from: CoE Graduate Student Council CoE Undergraduate Student Council Coordinate the student assistant partnership with Cristo Rey Jesuit High School.
