Full Time Corporate Office, Portland, OR, US 30+ days ago Requisition ID: 5473 Guardian has a need for a Full-Time Building Assistant to join our team at Maples I & II, The Mary Anne and Orchards at Orenco Station I, II & III! This is a group of apartment communities located in Beaverton and Hillsboro, totaling to 272 combined apartment units. A Building Assistant lives on site and provides outstanding customer service to the residents, coordinating communication between departments and between residents and the Community Manager, serves as a contact person for residents’ family members or legal representatives, and assists with facilities/maintenance tasks during off‑peak times. The Building Assistant will clean facility common areas and residential apartments as needed during turnover and at other times as directed by the Community Manager. The Building Assistant supports the Community Manager’s efforts to ensure that the property meets all ownership goals and objectives, enforces Guardian Management policies and procedures, and adheres to Fair Housing and Landlord‑Tenant Laws at all times. Responsibilities: The Building Assistant will: Serve as a primary point of contact for residents, assisting with inquiries and coordinating work orders. Maintain cleanliness of common areas, resident apartments, and facility spaces, including performing cleaning duties during turnover and off‑peak times. Assist with basic maintenance tasks such as toilet flushing, cleaning, recycling, and general upkeep. Walk the building nightly to secure doors, lock the office, and ensure safety as directed by the Community Manager. Walk the property grounds daily to ensure grounds keep clean and property retains excellent curb appeal. Coordinate communication between departments to ensure efficient operations and compliance with laws. Assist the Community Manager in preparing and maintaining accurate records, reporting potential hazards or needed repairs, and supporting marketing or tour activities. Maintain confidentiality of resident, owner, and Guardian information. Accurately record time worked and adhere to time‑keeping guidelines. Constantly strive for process improvements to better serve residents and meet company objectives. Perform other duties as assigned by the Community Manager or Regional Property Manager. Qualifications: High school diploma or GED. At least one year of experience working in customer service, sales, marketing, or a related field; or a college degree in a related field. Excellent attention to detail and strong organizational skills. Strong mathematical skills. Proficiency in speaking, reading, and writing English. Effective communication skills, both verbal and written. Ability to complete company training requirements within predetermined deadlines and attend additional training sessions as required. Previous cleaning or janitorial experience is a plus. Essential Functions: Represent Guardian in a positive and professional manner at all times. Support the Community Manager’s efforts to meet and exceed property management obligations. Work in compliance with all local, state, and federal laws (Fair Housing, Landlord‑Tenant Laws, OSHA, etc.). Coordinate communication between various departmental functions to ensure efficient operations and compliance. Assist residents by recording work orders and referring questions or requests to the appropriate administrative personnel or department. Secure the building nightly, lock doors, and close the office as needed. Walk property grounds daily to maintain cleanliness and curb appeal. Walk common areas daily to clean and maintain all common spaces. Maintain common areas, entryways, and dumpster/recycling areas. Alert supervisors of potential liabilities or repairs; identify property problems in structural, electrical, plumbing, and appliance areas. Under the direction of the Community Manager or Maintenance Supervisor, respond to all service requests, complete work orders, and assist with apartment turnovers in a timely manner per Guardian’s policies. Assist as backup for tours, marketing, and some social events as directed by the Community Manager. Exercise professional judgment in assessing and communicating changes in resident behavior or physical condition, documenting all changes accurately. Maintain accurate and confidential records for residents, prospective residents, and employees. Assist with basic maintenance tasks during off‑peak times. Follow confidentiality guidelines for all resident, property, owner, and Guardian information. Accurately record time worked and approve site staff time records daily. Represent Guardian Management and the community in a professional and ethical manner. Establish collaborative relationships between departments and coworkers. Continuously seek process improvements to meet resident needs, ownership goals, and company standards. Liaise with corporate departments to provide a collaborative approach to property management. Clean common areas and resident apartments according to schedule, including: Vacuuming carpets and spot cleaning. Cleaning ceilings and walls. Dusting furniture, shelves, light fixtures, and other surfaces. Cleaning bathrooms (shower, sink, toilet, counter, floor). Cleaning kitchenettes (sink, counter, refrigerator, floor). Defrosting refrigerators as needed. Removing trash. Cleaning windows as directed. Performing deep cleans of resident apartments per schedule. Mopping floors. Other duties as assigned by the Community Manager or Regional Property Manager.
