Lead Library Services Assistant

In this role, you'll support daily library operations, provide lead direction to staff and volunteers, coordinate programs and special events, support outreach efforts, build community partnerships, and help promote the services that make the library an essential part of our community. You'll have opportunities to solve problems, support new ideas, and help turn community needs into meaningful library services and experiences.

From opening the library and helping the team get ready for the day to coordinating community events, creating promotional content, troubleshooting technology, and serving as a liaison with community partners and the Library Board, no two days are quite the same.

The following duties are typical of this classification. Incumbents may not perform all of the duties set forth below and/or may be required to perform additional related duties to address City needs and evolving business practices.

• Coordinates and participates in a variety of administrative, technical, and customer service activities in support of library operations.
• Provides lead direction, training, and technical guidance to assigned staff and volunteers regarding library procedures, customer service practices, and daily operations; monitors work quality, provides input regarding performance, and ensures compliance with established procedures, service standards, and safety practices.
• Opens and closes library facilities and coordinates daily operational readiness.
• Supports library programs, special events, outreach activities, and community services; assists with monitoring participant conduct and ensuring compliance with established rules and procedures.
• Coordinates assigned operational projects, maintains program records and statistical data, and monitors assigned activities to support efficient library operations and informed decision-making.
• Coordinates and promotes special events, projects, and library services in collaboration with community organizations, schools, sponsors, partner agencies, and other stakeholders to expand library services and community engagement.
• Designs, prepares, and distributes promotional and informational materials, including flyers, brochures, newsletters, social media content, press releases, and web content.
• Responds to questions and concerns from patrons and the public regarding library services, programs, policies, procedures, and facility use; resolves routine problems independently and refers significant issues to management as appropriate.
• Assists with maintaining a safe, clean, welcoming, and inclusive library environment; addresses patron concerns and behavior issues and ensures compliance with City and departmental policies and procedures.
• Performs a wide variety of operational and administrative processes, including records management, report preparation, scheduling, correspondence, data entry, financial reporting, deposits, cash drawer balancing, and program documentation.
• Performs collection maintenance activities, including inventory, shifting, weeding, and processing materials.
• Assists in troubleshooting routine library technology issues and serves as a technical resource for staff and patrons.
• Provides technical assistance in the analysis, implementation, and monitoring of library programs, services, and activities.
• Conducts research into administrative and operational concerns; compiles information and makes recommendations for process improvements or corrective action.
• Maintains effective communication and coordination with City departments, outside agencies, schools, community organizations, sponsors, and the public using sound independent judgment and professionalism.
• Serves as liaison to the Library Board of Trustees; coordinates board meetings and related activities, including agendas, meeting materials, records, appointments, and compliance with the Brown Act and other applicable requirements.
• Contributes to a positive and collaborative work environment by identifying issues, recommending solutions, and supporting team initiatives.
• Ensures adherence to safe work practices, procedures, and applicable safety regulations.

Knowledge of: library operations, services, programs, circulation procedures, and public service practices; principles and practices of lead work coordination, training, and providing work guidance; principles and practices of customer service and effective public interaction; public engagement and community outreach; program coordination and event support methods; library management systems and related technology used to support library services; basic financial reporting and cash handling practices, including register operations, deposits, and cash drawer reconciliation; administrative support practices, including records management, scheduling, data entry, and report preparation; methods and techniques for preparing correspondence, reports, promotional materials, and informational documents; principles and practices of graphic design, digital content development, and social media communications; meeting procedures and requirements applicable to advisory bodies, including agenda preparation, public noticing, and the Brown Act; modern office practices, procedures, and equipment, including computer applications such as Microsoft Office Suite and related software; applicable City and departmental policies, procedures, rules, and regulations; basic research methods, data collection, and information organization; proper English usage, grammar, spelling, punctuation, and proofreading techniques; safe work practices and procedures; techniques for effectively working with individuals from diverse socioeconomic, cultural, and educational backgrounds.

Ability to: effectively provide lead direction, train, mentor, and motivate staff and volunteers; provide constructive feedback; address performance or conduct issues; and support employee development and accountability; organize, prioritize, and coordinate multiple assignments, projects, and activities with competing deadlines; coordinate library programs, outreach activities, and administrative projects while maintaining high levels of customer service; exercise independent judgment and make appropriate decisions within established policies and procedures; accurately interpret and apply policies, procedures, rules, and regulations; analyze information, identify issues, and recommend practical solutions; communicate effectively with individuals at all levels, including staff, community partners, and members of the public; establish and maintain effective working relationships with coworkers, volunteers, community organizations, outside agencies, and the public; provide professional and responsive customer service and appropriately address sensitive or difficult situations; prepare clear, concise, and professional written materials using proper grammar, spelling, and punctuation; maintain accurate records and organize information effectively; accurately perform basic cash handling and reconcile routine transactions; use standard office equipment, computer applications, and library technology; work independently and collaboratively in a public service environment.

Education and Experience: A typical way to obtain the required qualifications would be: possession of an associate degree from an accredited college or university with coursework in library science or a related field; and two years of paraprofessional experience in library support, library services, or a related field. Additional experience as outlined above may be substituted on a year-for year basis for the educational requirement up to a maximum of two years. Bilingual and biliterate proficiency in Spanish is desirable.

Licenses and Certifications: Requires possession of the following: a valid California Class C driver license and a satisfactory driving record.

Other Requirements Incumbents may be required to work evenings, weekends, and holidays as necessary to support library operations, programs, and public service hours.
