Reports To: Chief Financial Officer (CFO)

Position Summary

The Assistant Controller is responsible for overseeing the day-to-day operations of the Accounting Department, ensuring accurate financial reporting, strong internal controls, and continuous process improvement. This role combines hands-on accounting work with leadership and training of accounting staff, with a strong focus on efficiency, collections, driver settlements, and month-end close processes in a fast-paced environment.

Key Responsibilities

Financial Leadership & Reporting

• Approve all payments (checks and credit cards)
• Prepare Journal Entries and maintain JE checklist
• Assist in Month-End and Year-End closing processes, including preparation of financial statements
• Prepare reports for the CFO binder
• Perform account reconciliations
• Review and approve credit memos, ensuring proper backup documentation and handling of credit/rebill transactions

Team Leadership & Development

• Supervise and train Accounting staff in the following areas:
  • Accounts Receivable
  • Accounts Payable
  • Billing
  • Reception / Operations Approval / Scanning
• Review Driver Payroll
• Review A/P mail and establish procedures for handling past-due invoices
• Review aging reports and direct AR team efforts to maximize collections

Process Improvement & Internal Controls

• Continuously review accounting processes and implement improvements to increase efficiency
• Develop and document Standard Operating Procedures (SOPs)
• Strengthen internal controls through consistent review of duties and processes
• Improve the auto invoicing process
• Develop KPIs and processes to ensure timely invoicing in the billing department

Driver & Operational Support

• Review and approve IC Driver Settlements
• Handle driver-related issues via phone and in-person
• Assist with driver orientation and attend Driver Safety Meetings
• Review and manage Driver Turndown Reports and Freight Turndown Reports (ensure accountability, deadlines, and compilation)

Additional Responsibilities

• Monitor and streamline Accounts Receivable processes
• Support KPI development and tracking for key accounting activities
• Interface with drivers and operations teams as needed

Qualifications & Experience

• Minimum 5+ years of progressive accounting experience, preferably in a transportation, logistics, or trucking company
• Strong experience with Microsoft Dynamics GP (required)
• Proven supervisory and staff training experience
• Thorough knowledge of month-end close processes, reconciliations, and journal entries
• Experience with internal controls, process documentation (SOPs), and process improvement
• Excellent organizational, analytical, and problem-solving skills
• Strong communication skills with the ability to interact professionally with drivers, staff, and senior management

Preferred Skills

• Previous experience as an Assistant Controller or Accounting Manager
• Familiarity with driver settlement and payroll processes in the transportation industry

Experience implementing or improving automated invoicing systems
