Field Service Coordinator - Houston Branch

Reporting to the Manager, Houston Field Service Operations, the Field Service Coordinator - Houston Branch will be responsible for providing administrative support as detailed below.

The duties will include but will not be limited to the following:

Office Administrative Duties

• Maintain reception area to include answering and distributing all incoming calls and ensuring visitors are handled appropriately.
• Provide Branch safety orientation to visitors and new TCT personnel.
• Manage both incoming and outgoing mail and courier items to include LSS System.
• Maintain all administrative supplies to ensure adequate levels are always held.
• Maintain office equipment and keep supplies on hand.
• Coordinate building maintenance repairs as needed.
• Assist with visa requirements, travel and meeting arrangements.
• Assist with coordinating company events and social functions.
• Support TCT sales initiatives as required including administratively.
• Weekly payroll reporting
• Raising and maintenance of purchase orders as required for branch activities, inclusive of all US field service accounts payable.

Field Service Administrative Duties

• Maintenance of Field Service Procedures for jobs inclusive but not limited to the following:
• Open jobs in the TCT ERP
• Track and allocate costs in the TCT ERP as required
• Completion of job closure for review by Manager, Houston Operations
• Compilation of reports and close out materials to accompany invoice
• Support timely job close-out to enable prompt invoicing and minimize work in progress (WIP)
• With Branch Manager, coordinate field service job schedules, FS Tools, dispatches, tooling and materials.
• Coordinate shipments with logistics support personnel to ensure timely delivery of materials to customers' sites.
• Maintain tooling inventory, PAT testing, calibrations and load testing in accordance with TCT processes.
• Maintain training documentation and registers/ matrices in collaboration with the Field Service Manager Houston.
• Assist with editing and distribution of job reports.
• Review of field paperwork submitted by the FS representatives.
• Review technicians' monthly expenses in Emburse system.
• Order technician uniforms as needed.
• Review technician timesheets in UKG on a weekly basis.

Health, Safety and Environment and Quality Duties

• Ensure all assigned projects comply with company and customers' Health, Safety, and Environmental (HSE) policies.
• Develop and review risk assessments and Safe Work Practices (SWPs).
• Maintain HSE documentation and registers/ matrices in collaboration with the Field Service Manager Houston.
• Support audits, inspections, and continuous improvement initiatives.
• Support cost reduction and operational improvement initiatives.
• Increase knowledge of the HSE Policy and Manual and maintain a positive attitude towards health and safety
• Other duties as directed by the Manager, Houston Field Service Operations.

Qualifications and Experience The Field Service Coordinator Houston Branch must represent TransCanada Turbines in a gracious, polite, organized, innovative and customer-focused manner, and ensure that all visitors are delighted with the level of responsiveness and attention they receive while in the care of the company.

The minimum training and/or educational requirement for this role is one (1) year related experience or a combination of education and experience that allows the individual to adequately perform the role, determined by the Manager, UK & European Field Service Operations.
