POSITION OF: CONTROLLER

REPORTS TO: CFO

The CONTROLLER is: EXEMPT (salary).

DUTIES AND RESPONSIBILITIES

The CONTROLLER is directly responsible for overseeing the accounting department and ensuring adherence to policy, accuracy and timeliness for all reports.

The Controller will conduct all business in accordance with the company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.

FINANCIAL

• Corporate Financial Statement and tax package preparation
• Final review of operating property monthly financials, annual audit and tax packages
• Bank account maintenance, including opening/closing accounts, user maintenance
• Maintain Yardi bank account and General Ledger account setup
• Maintain Avid property setup and user maintenance
• Coordinate and track audits and tax returns for all entities to ensure deadlines are met
• Liaison with Principals’ personal tax preparers for K-1’s and related documents for individual tax return preparation
• Track and process all required estimated and final tax payments for entities, as necessary
• Sign checks, release Avid electronic payments & Paymode electronic payments weekly
• Manage utility vendor autopay setup/shutoff and make one-time portal payments, as necessary
• Supervise all Accounting Department staff to include annual reviews and annual review submissions including any HR change notices
• Submit annual 1099 files through IRS online portal
• Establish initial Property Accounting functions and opening Financials for Fee Management takeovers and transfer to Property Accountants
• Liaison with Investor Asset Managers regarding audit and tax questions
• Coordinate Annual and Periodic cash flow distributions, Asset Management Fee, Incentive Management Fee and Consulting Fee Wire
• Complete miscellaneous forms for vendor direct deposits, auto drafts, Forms W-9, etc.
• Liaison with Property Buyers for all financial information post sale closing
• Review relevant documents for new properties to ensure financial requirements are adhered to
• Oversee annual employee benefits renewals and interim performance reviews
• Assist CFO with refinancing of maturing debt
• Oversee submission of required RE tax, tangible personal property and exemption forms
• Miscellaneous projects as assigned by Chief Financial Officer or Principals
• Annual distribution of Budgets to Investors and Lenders

ADMINISTRATIVE

• Organizes all paperwork related to job description.
• Reviews and approves letters for submission with items to lenders and investors as necessary.

GENERAL

• Performs any additional duties assigned by the CFO.

QUALIFICATIONS

Position requires at least 10 years of supervisory/controller experience in a residential property management organization and a Bachelor of Science degree in Accounting or Finance. Must have experience with Excel, Microsoft Word and a computerized Accounting system.

Work Hours : 45-50 hours per week. Extra hours may be required during the period of January 1 and February 15th annually.

VISION REQUIREMENTS

• Constant need (66% to 100% of the time) to complete forms, read and review reports and a wide variety of correspondence, view computer screen. Frequent need to see small detail on faxed/scanned documents.

• Constant need (66% to 100% of the time) to communicate over the telephone or in person with corporate staff/site staff and occasionally vendors.
