Import Logistics Coordinator

Operational Logistics & Shipment Management

Oversee the end-to-end import process for air and ocean shipments, ensuring timely and accurate execution of each stage of the shipment lifecycle.

Execute and monitor daily air and ocean operations via internal software and other logistics software platforms.

Coordinate and distribute all necessary import documentation (e.g., commercial invoices, packing lists, bills of lading) to internal and external stakeholders, ensuring full compliance with all regulatory and procedural standards.

Communicate regularly and effectively with carriers, warehouses and third-party vendors to track shipment progress and ensure service quality.

Provide timely updates and proof of delivery (POD) to customers.

Respond promptly to booking requests, rate inquiries, and operational issues from clients and partners.

Submit all relevant documentation and data to the customs brokerage team to facilitate timely clearance of goods.

Customer & Account Management

Serve as the primary point of contact for strategic import accounts, facilitating communication between clients and logistics providers to ensure high service levels.

Ensure shipment-level communication between RGLUSA and external parties is consistent, professional, and in line with company standards.

Proactively identify and pursue opportunities to grow business and increase revenue with existing and new customers.

Support strategic account growth by aligning services with client goals and providing value-added logistics solutions.

Compliance & Quality Assurance

Review and ensure adherence to all relevant SOPs, including compliance with TSA, ISO, TAPA, IMDG, and other applicable standards.

Maintain thorough, accurate records of all shipments, invoices, and correspondence in accordance with internal audit and quality procedures.

Issue freight invoices and debit notes to customers and vendors in a timely and accurate manner.

Proactively contribute ideas and feedback to improve internal processes, training programs, and operational efficiency.

Participate in ongoing learning opportunities to enhance knowledge of industry trends, compliance requirements, and technology tools relevant to international logistics.
