Job Summary
The Registrar Assistant provides administrative support to the Registrar’s Office with a primary focus on preparing historical student records for digitization and assisting with transcript processing. This position requires careful attention to detail, reliability, and the ability to maintain confidentiality when handling student educational records.

Job Duties & Responsibilities
• Review historical paper student files and identify Naropa University transcripts that need to be removed and prepared for scanning.
• Organize, sort, and prepare transcripts and related student record documents for digitization according to Registrar’s Office procedures.
• Scan and/or assist with scanning student record documents and verify that documents are complete and legible, as assigned.
• Print Naropa transcripts and prepare transcript orders for mailing, including organizing documents and envelopes according to established procedures.
• Assist with basic filing, document organization, data entry, and other routine administrative tasks as needed.
• Follow established Registrar’s Office procedures and ask questions when records are incomplete, unclear, or require staff review.
• Create and maintain a positive team environment and behave professionally with everyone encountered in the course and scope of the job duties.
• Maintain confidentiality of all student records and information in accordance with university policy and the Family Educational Rights and Privacy Act (FERPA).
• Other duties as assigned.

• Student must be offered federal or state work study hours by Financial Aid in order to fill this position.
• Ability to carefully follow written and verbal instructions and established office procedures.
• Basic proficiency with Microsoft Office, including Outlook and Word, and comfort learning office scanning and document-management processes.
• Ability to organize, sort, and accurately process paper and electronic records.
• Reliable and punctual.
• Excellent attention to detail and accuracy.
• Effective verbal, written, and interpersonal communication skills.
• Ability to maintain confidentiality and appropriately handle sensitive student information.

What We’d Like You to Have But Not Required…
• Previous office, filing, scanning, data entry, or records-management experience.
• Familiarity with student information systems or experience working with confidential records.

Naropa recognizes the following holidays throughout the year: Martin Luther King, Jr. Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Fall Break, 4th Thursday and Friday in November, and Winter Break, the last two weeks in December encompassing the Christmas holiday as well as New Year’s.

All regular full-time and part-time faculty and staff, including student workers, accrue sick leave benefits. Full-time and part-time staff positions accrue vacation and personal time. All leave accrual rates vary based on the position, hours worked, and years of service.
