About Fort Logan The Colorado Mental Health Institute at Fort Logan (CMHIFL) is one of two state hospitals serving our community. CMHIFL provides inpatient treatment to adult patients (ages 18‑59) and currently has 94 adult inpatient beds. The hospital is scheduled to add an additional 44 beds (two units) in August 2022. CMHIFL offers occupational therapy, neuro‑psychological rehabilitation, trauma‑informed care, and other medical and therapeutic services. About this Position This role supports the growing Safety Department by providing program assistance, administrative support, and technical program management. The position reports to the Chief Support Services Officer and assists with staff scheduling, meeting notes, employee files, and program oversight. Primary Job Duties Fully operational Program Assistant for the Safety Department, developing procedures to meet workload and deadlines. Manage multiple Google calendars and maintain departmental spreadsheets and documentation. Develop and maintain filing systems for personnel, including confidential files and training records. Assist with inputting and tracking PAF movements in eClearance. Provide timekeeping functions using the KRONOS system and support office communications. Prepare meeting notes and agendas for Safety Department meetings. Coordinate procurement, PCard purchases, and receiving reports with the CFO’s office. Manage Safety Department uniform and supply inventories, tracking needs and documenting data. Brief Directors on concerns or discrepancies in policy or procedure. Analyze data, identify problem areas, devise solutions, and prepare supporting reports. Communication Communicate with staff and other stakeholders to coordinate meetings and projects. Inform Directors of potential problems or challenges and recommend solutions. Compile and distribute information, ensuring documents are current and accessible. Liaise with all other disciplines within the hospital. Maintain Safety Department digital scheduling, overtime, and job posting billboards. Training Coordination for Safety and Communications Support the Safety/Communications Department in maintaining training manuals and tracking changes. Program Coordinator / Administrator – Support Services Support and assist Support Services administrative staff as a backup for time‑sensitive projects. Hospital Badge Coordinator Coordinate the printing and distribution of staff badges in compliance with security requirements. Other Duties as Assigned Other duties as assigned to support the Safety Department. Minimum Qualifications Five (5) years of relevant experience in an occupation related to the work assigned (administrative and/or clerical duties). Substitutions A combination of related education and/or relevant experience equal to five (5) years. Preferred Qualifications Experience in administrative support. Experience in database management. Experience working with Google/Microsoft applications. Experience within a safety and security setting. Strong background in problem solving computer/software challenges. Experience with the mental health population/trauma informed care. Strong ability to multitask and prioritize deadlines. Strong computer and organizational skills. Strong written and verbal communication. Strong attention to detail. Ability to submit error‑free PAFs. Ability to maneuver quickly between competing projects and manage deadlines. Proficiency in using Google Sheets pivot tables. Excellent oral and written communication and editing skills. Superior organization, customer service, and interpersonal skills. Strong critical thinking and analytical skills. Demonstrated ability to prioritize, multitask, and meet deadlines with minimal direction. Conditions of Employment Pre‑employment criminal background check required; felony or misdemeanor convictions related to job duties may disqualify the candidate. Current and valid unrestricted Colorado Driver’s License or non‑restricted U.S. Driver’s License for positions within 30 miles of the Colorado state border. State of Colorado residency at the time of application and throughout employment. Minimum age 21 years. May be required to provide local transport for patient care. Travel to assigned trainings and/or work sites. Required to report without delay for essential or emergency services. Must pass a Tuberculosis (TB) test.
