Program Assistant I - Jail Based Restoration/Forensic Services Department.

Department Information This position is open to current Colorado residents only. The Forensic Services Division is responsible for six departments, including Forensic Community‑Based Services, Jail‑Based Evaluation and Restoration, Outpatient Restoration, the Forensic Support Team, the Court Services Department, and the Operations Department. Our teams work in community agencies, jails, courts, hospitals, and secure facilities, and we provide critical decision‑making in dynamic, fast‑paced environments. The JBR program offers jail‑based competency restoration services and coordinates with private hospital programs, ensuring best practices in admissions, competency restoration treatment, and continuity of care across the state. Job Description Weekly Hybrid Working Arrangements: Minimum 2 days in the office and maximum 3 days remote. This position will comply with the Forensic Services Department’s current working arrangements, which are subject to change at any time. Program and Office Management Provides support to the director, supervisors, and staff, coordinating meetings, agendas, minutes, and schedules. Serves as a point of contact for stakeholders and delivers strong customer service on behalf of the unit. Manages confidential information, composing correspondence for the Program Director’s signature. Collaborates with Human Resources for position descriptions, job postings, hiring, interviewing, and termination processes. Oversees time‑keeping reporting and use of the UKG system. Tracks staff travel requests and reimbursement. Manages inventory, technology, ordering, and purchasing through P‑card agreements, invoicing, billing, and receiving reports. Assists the director with budget oversight and contracts. Compiles documents for staff, client, and court‑related submissions. Maintains electronic tracking systems for correspondence and requests, ensuring timely and accurate responses. Ensures federal and state compliance with record retention, privacy laws, best practices, and departmental policies. Identifies workflow issues, proposes solutions, and assists with execution. Translates project concepts into concrete operations supporting the JBR and FSDV mission and goals. Creates and manages work plans, deadlines, and tracking systems, ensuring all JBR deadlines are met. Attends training and meetings to increase and maintain job knowledge. Provides technical assistance on departmental processes and protocols and assists with presentation and material development. Data Collection and Reporting Projects Tracks daily program factors (court dates, referral table, case dispositions, patient length of stay, discharge reasons, etc.) and generates reports. Assists with reporting to OCFMH and CDHS management on program performance and compliance. Analyzes data, suggests areas for growth, and collaborates with the Director and Clinical Director to improve program efficiency. Policy and Procedure Supports the JBR Director and Quality Assurance Team in developing department policy and procedures. Creates office management and organizational procedures to prioritize workloads and meet deadlines. Other Duties as Assigned Performs tasks or special assignments assigned by CFMH that are not specifically referenced above. Minimum Qualifications Four (4) years of relevant experience in an occupation related to the work assigned to this position, or a combination of related education and/or relevant experience equal to four (4) years. Preferred Qualifications Experience in office and program management. Degree in Business Administration, Public Administration, Healthcare Administration, Human Services, Organizational Leadership, Management, Communications, or a closely related field. Experience in healthcare, behavioral health, human services, criminal justice, or government environments. Experience with program coordination, executive support, office management, and project tracking. Experience collecting, analyzing, and reporting program data. Experience with UKG, HRIS, or similar workforce management systems. Experience with budget tracking, purchasing, contracts, and procurement processes. Knowledge of HIPAA, records management, and confidentiality requirements. Previous State experience. Advanced proficiency with Microsoft Excel and other Microsoft Office applications. Conditions of Employment In‑state travel between CMHHIP, CMHHFL, and various detention facilities/hospitals. Mandatory 2‑step TB screening, annual influenza vaccination, and other required vaccinations. Background checks including CBI name check, ICON Colorado court database, Medicare fraud database, reference checks, professional license verification, and drug screen.
