General Position Summary

The Leasing Agent’s primary focus is leasing multi-family apartment homes. This position is responsible for leasing follow-up, applicant communication, guest cards, scheduling tours, and updating the property manager on vacant units. 

The Leasing Agent also provides administrative support, backs up the front desk, and assists with office administrative tasks. This role is a key part of the resident experience and helps ensure that ADI Properties delivers excellent service to both owners and residents.

Primary ResponsibilitiesLeasing & Resident Relations

• Greet and tour prospective residents.
• Send rental applications, follow up with applicants, and complete guest cards.
• Schedule property tours and provide clear communication on property features and leasing requirements.
• Supporting occupancy and leasing goals for assigned properties.
• Preparing lease documents and move-in paperwork.
• Responding to leasing inquiries via phone, email, and online leads.
• Assisting applicants through the application process.
• Inspect and check vacant properties to ensure market readiness and curb appeal.

Front Desk & Communication

• Following up with prospective residents.
• Provide backup support to the front desk, including answering and routing phone calls.
• Maintain professional communication with prospective residents, current residents, owners, and vendors.
• Assist with general office work such as filing, scanning, and sorting documents.

Administrative Support

• Assist with marketing updates, including online listings and guest card traffic reporting.
• Maintain accurate communication logs and weekly leasing activity reports.
• Support property managers and home office staff with additional administrative tasks as requested.
• Maintaining prospect and resident records.

Additional Responsibilities

• Assist in light office or property errands (valid driver’s license and insurance required).
• Participate in occasional resident or community engagement activities.
• Conducting site walks and reporting lease violations, including balcony and exterior housekeeping violations
• Provide additional administrative support to Property Manager as needed.
• Assisting site managers with posting notices and resident correspondence as needed
• Other duties as assigned.

Skills and QualificationsTechnical Skills

• Proficiency with Microsoft Office 365, internet, and office equipment (printer, scanner, fax, etc.).
• Basic understanding of property management software (e.g., AppFolio, Tenant Tech) preferred.
• Ability to learn and navigate utility and vendor portals.

Soft Skills

• Strong verbal and written communication skills.
• Excellent customer service and interpersonal abilities.
• Ability to multitask, prioritize, and work independently in a fast-paced environment.
• Professional demeanor with strong conflict resolution and problem-solving skills.

Experience and Education

• High School diploma or equivalent required.
• Prior leasing, property management, or customer service experience preferred.
• Basic math and organizational skills.
• Knowledge of landlord/tenant laws, fair housing, and compliance practices preferred.
• Customer service or sales experience preferred.

Work Environment & Physical Demands

• Primarily office-based with periodic property inspections.
• Requires walking, standing, bending, and occasional lifting (up to 25 lbs).
• Regular use of phones, computers, and office equipment.
• Must be available for occasional evenings or weekends to accommodate tours or leasing deadlines.
