Program Coordinator, Operations (Student Health & Well-Being)

We are seeking a Program Coordinator - Operations who plays a critical role in supporting operations across fourclinical locations within Student Health and Well-Being (SHWB)Primary Care and MHS integrated clinics. Their role is highlymobile and responsive, requiring flexibility to deploy to otherclinic locations to support cross-site operational needs, projectimplementation, and real-time issue resolution. Serving as a keyoperational liaison on-site, the Program Coordinator deploys asneeded to ensure seamless clinic function, provide short-termcoverage, and support pop-up or project-based initiatives thatsustain department performance. This role also provides hands-onlogistical support for clinic and departmental initiatives, whichmay include coordinating and procuring event materials,transporting supplies between sites, supporting on-site eventsetup, and completing time-sensitive operational tasks that ensureclinics remain fully supported and functional. Specific Duties & Responsibilities Contribute to goal setting and identify program operationalrequirements to meet programmatic goals. Obtain and utilize internal and external resources to meetprogram goals. Serve as primary contact for the program with internaldepartments and external organizations. Responsible for monitoring budget expenses, processinginvoices, performing budget reconciliation, and assisting withbudget development. Compile documentation related to funding and finance. Identify and resolve programmatic problems. Assist with planning events and coordinate preparation, set upand logistics for events/ functions. Coordinate communication activities via websites, social mediachannels, and publication materials as needed. Ensure timely, accurate and appropriate reporting of programactivities. Serve as an implementation lead for cross-site operationalprojects, including space optimization, workflow redesign andinfrastructure improvements. Oversee centralized operations and overall calendar managementfor Primary Care and Mental Health Services, ensuring visibility ofclinic capacity changes and system-wide impacts. Coordinateoperational communications, including clinic closure notifications(e.g., inclement weather), service adjustments, and othertime-sensitive updates to maintain continuity and minimizedisruption across sites. Partner with the Senior Administrative Manager and siteleadership to support resolution of logistical, facilities, andsystems issues. While site supervisors remain the primary points ofcontact, provide on-site operational support during high-volume orconcurrent issue periods, including assistance with Facilities,Housekeeping, Telecom, door access, and scheduling-related helptickets. Deploy across clinic sites to support logistical andcompliance-related operations, including transporting purchasedgoods between locations, reviewing student health documentation forentrance and immunization compliance, and providing administrativecoverage for flu and other compliance clinics. Coordinate and support cross-unit events and engagementinitiatives for MHS and PC; serve as the administrative contactwith oversight of leadership on program design, and oversight ofon-site logistics including digital communication, websites, clinicdisplays, and on-site information resources. Contribute tomarketing and communication efforts to promote participation andstrengthen community engagement across clinic sites. Other duties as assigned. Knowledge, Skills, and Abilities Proficient with Microsoft Office programs including Outlook,Word, Excel, and PowerPoint. Minimum Qualifications High school diploma or graduation equivalent. Four years progressively responsible administrativeexperience. Additional education may substitute for required experience,and additional related experience may substitute for requirededucation beyond a high school diploma/graduation equivalent, tothe extent permitted by the JHU equivalency formula. Preferred Qualifications Bachelor's Degree.
