HVAC Service Dispatcher

Position Summary

RJA Heating & Air Conditioning is seeking a HVAC Service Dispatcher to help coordinate daily operations for service technicians under the direction of department management. This position plays a key role in ensuring efficient service delivery by managing schedules, coordinating work orders and callbacks, monitoring technician status, and maintaining clear communication between customers, technicians, and internal teams.

Schedule

Regular schedule: Monday - Friday, 8:00 a.m. to 4:30 p.m. (Overtime possible)

Location & Work Setting

This position is based in our Sacramento office and supports service operations across the Sacramento and Bay Area.

Responsibilities

· Receive and process inbound customer calls, emails as well as service technician calls

· Provide informative and proactive customer service

· Take detailed work order notes and communicate relevant information to internal teams

· Schedule and coordinate service calls within department guidelines

· Create work orders and support documentation to complete service requests

· Handle inbound emails/calls, create and document work orders, track technician status/GPS & provide ETAs, and support permits/inspections/HERS testing plus SMUD rebate paperwork.

· Monitor technician workflow and job site progress

· Follow up with service technicians, service manager, and account manager regarding work orders, callbacks, and paperwork

· Monitor and document GPS activity for service technicians and provide accurate estimated times of arrival (ETAs)

· Perform other clerical duties as assigned by the department manager

Compensation

Pay range: $25.00 to $30.00 per hour (DOE). Additional compensation may include overtime and/or performance-based incentives where applicable.

Requirements

· The applicant should demonstrate a friendly, professional demeanor and a positive, enthusiastic attitude.

· Accurate data entry skills

· Ability to multitask and prioritize workflow in a fast-paced environment

· Strong attention to detail and effective time management skills

· Knowledge of terminology in HVAC is desired but not required

Preferred Qualifications

· Experience dispatching service technicians (HVAC, plumbing, electrical, or similar trades)

· Minimum of 5 years of administrative experience

· Proficient in-Service Titan software, 5 years minimum

· Comfortable communicating with both technicians in the field and customers by phone/email

· Bilingual (English/Spanish) a plus

· Knowledge of basic HVAC terminology
