SALES SUPPORT ADMINISTRATOR

Job Title

Provide daily administrative and operational support to the Sales team, ensuring timely completion of customer requests, documentation, and internal processes.

Assist with new customer onboarding, including collecting credit applications, customer information, required forms, and supporting documentation.

Enter, update, and maintain accurate customer account information in Livegistics, Business Central, and other applicable company systems.

Assist with the collection, organization, and maintenance of customer Master Service Agreements (MSAs), amendments, renewals, and related documentation.

Maintain accurate electronic records of customer contracts, account information, correspondence, and supporting documentation.

Assist with obtaining, tracking, and maintaining Certificates of Insurance (COIs) and other customer-required documents.

Coordinate with Sales, Billing, Finance, and Operations to ensure customer information, account details, and required documentation are accurate and complete.

Follow up with Sales representatives and Operations personnel regarding missing or incomplete tickets, customer information, and supporting documentation needed for accurate and timely billing.

Research and assist in resolving routine customer account discrepancies, billing questions, and ticket-related issues, escalating complex matters to the Sales Support Manager.

Provide administrative support for Livegistics, including maintaining customer information, assisting users with routine questions, and identifying system-related issues requiring additional support.

Assist with maintaining accurate information between Livegistics, Business Central, and other sales-related systems.

Prepare, update, and maintain sales reports, customer account trackers, contract logs, and other departmental records as requested.

Assist Sales representatives with customer correspondence, documentation requests, presentations, and other administrative needs.

Monitor outstanding customer setup requirements, documentation requests, and administrative tasks to ensure timely follow-up and completion.

Support the preparation and distribution of sales-related reports, customer information, and internal communications.

Maintain organized electronic filing systems to ensure customer and sales documentation is readily accessible and current.

Follow established departmental procedures and Standard Operating Procedures (SOPs) to ensure consistency, accuracy, and efficiency.

Identify recurring administrative issues, documentation gaps, and opportunities for process improvements, communicating recommendations to the Sales Support Manager.

Maintain confidentiality of customer information, pricing, contracts, and other sensitive company records.

Perform additional administrative duties and special projects as assigned to support departmental objectives and company operations.
