Administrative Support Associate

Job Overview Position Title: Administrative Support Associate. 30 hours per week. Work hours Monday‑Friday between 9am‑4pm. Location: Raleigh, NC (100% on site). Salary Range: $30,000 – $35,000 per year (30 hours per week) with benefits available for both part‑time and full‑time employees. Department: Science, Technology, Engineering and Mathematics Education within the NC State College of Education. Key Responsibilities Manage incoming and outgoing correspondence, including emails, phone calls, and mail. Coordinate and schedule appointments, meetings, and events, handling calendar management, logistics, and meeting support. Maintain, organize, and manage both physical and electronic records, files, and documentation with confidentiality and accuracy. Provide administrative support to the Department Head, program coordinators, faculty, and staff to ensure efficient operations. Assist in organizing events, meetings, and conferences, including logistics coordination. Manage inventory and ordering of office supplies, instructional materials, recruitment materials, and other program‑related items. Monitor administrative processes and support efficient office workflows and operational continuity. Serve as administrative support for departmental initiatives, projects, and search committee activities. Coordinate departmental events, workshops, meetings, conferences, and special programs. Handle event logistics such as room reservations, catering, travel coordination, materials preparation, and attendee communication. Collaborate with faculty, staff, and university partners to ensure successful execution of departmental and college‑sponsored events. Track event timelines, deadlines, and budgets while ensuring compliance with university policies. Perform data entry and maintain accurate information in various databases. Generate reports and compile data for departmental use, maintaining up‑to‑date tracking systems. Act as a point of contact for internal and external stakeholders and facilitate effective communication within the department and with other university offices. Coordinate scheduling of undergraduate courses, collaborate with faculty and academic leadership, and manage course offerings. Submit undergraduate student hire requests, including Work Study and PEP student hires, and maintain hiring data in departmental workbooks. Partner with HR and Graduate Services Coordinators to support the student hiring process. Other Responsibilities Perform other duties as assigned by the Department Head or college leadership to support departmental and college operations. Note: This position requires an on‑campus presence and the employee must reside within a commutable distance to campus. Qualifications High School Diploma or equivalent, or demonstrated possession of the necessary competencies. Previous experience in an administrative or clerical role is advantageous. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software. Strong organizational and multitasking skills. Excellent written and verbal communication skills.
