Operations & Compliance Coordinator Relay Fire & Safety | Massapequa, NY Help Keep a Fast-Moving Fire & Life Safety Operation Running Smoothly Relay Fire & Safety is growing, and we're looking for an Operations & Compliance Coordinator to join our team in Massapequa, NY. If you're the person who keeps track of the details, follows up before someone has to ask, and somehow manages five moving pieces without dropping any of them, you may be exactly who we're looking for. This is a hands-on operations role supporting our fire and life safety business across Long Island and the New York City market. You'll play an important part in coordinating FDNY inspections and testing, resolving violations and summonses, reviewing completed field work for quality and compliance, and keeping day-to-day operations organized and moving forward. Experience in fire protection is a plus, but not required. We're equally interested in candidates coming from construction, field service, facilities, mechanical/electrical services, or another fast-paced service environment who know how to get things done. What You'll Do FDNY & Compliance Coordination Schedule and coordinate FDNY inspections, testing, and related appointments Confirm, track, and document scheduled inspections and compliance activities Help manage and resolve violations and summonses Maintain accurate compliance records and follow up on outstanding items Help ensure customer accounts and projects remain in good standing Quality & Field Operations Support Perform daily quality checks on completed technician work Review documentation for accuracy, completeness, and compliance Help ensure completed jobs meet company and regulatory requirements Communicate with technicians and operations team members to resolve missing or incomplete information Support efficient day-to-day field operations Operations & Workflow Coordination Coordinate daily office and operational activities Track multiple priorities, deadlines, appointments, and outstanding action items Identify potential bottlenecks and proactively follow up to keep work moving Support leadership and other departments with operational needs and special projects Administrative Support Prepare reports and maintain accurate digital and physical records Manage email, phone, mail, and other business communications Maintain organized documentation and files Help maintain an efficient and professional office environment Track and replenish office supplies as needed What We're Looking For We're looking for someone who is organized, proactive, detail-oriented, and comfortable working in a fast-paced environment. You should be someone who can look at a list of competing priorities, figure out what needs attention first, and keep everyone informed along the way. Preferred qualifications: 2+ years of experience in an operations, administrative, compliance, scheduling, service coordination, or office support role Strong organizational and time-management skills Excellent attention to detail and commitment to accuracy Ability to manage multiple deadlines and changing priorities Strong written and verbal communication skills Confidence communicating with customers, technicians, leadership, and outside agencies Strong Microsoft Office skills Comfortable learning new software and technology Ability to work effectively in a high-pressure, deadline-driven environment Valid driver's license Even better if you have experience with: FDNY processes, inspections, violations, or compliance Fire protection or fire & life safety Construction or specialty contracting HVAC, electrical, plumbing, security, or other field-service businesses Service scheduling or technician coordination Why Join Relay?
