Payroll Distribution Specialist - WA - On Site

Position Summary The Payroll Distribution Specialist ensures client satisfaction by managing the printing and packaging of all payrolls for the entire company client base. Compensation $17.13 / hour - $20.03 / hour Essential Duties And Responsibilities Assemble payroll packages according to client number and prepare them for delivery to meet quality and production timelines. Packages include registers, department reports, worksheets, liability reports, checks, vouchers, and miscellaneous reports. Operate various office equipment (mail and shipping PCs, printers, sealers, etc.) to ensure timely processing of payrolls or client packages. Inspect printed payroll checks, sort, and package for pickup and/or delivery. Coordinate and perform timely daily posting of mail and overnight labels to schedules. Complete all package confirmations and checklists to maintain accurate tracking and security of package flow and location. Comply with all security and audit procedures to protect client information. Record and escalate issues to appropriate parties to prevent missing or incorrect output. Stage packaging supplies as necessary to maintain production readiness. Load and unload required paper stock to ensure printers run at optimal performance. Coordinate and perform timely daily processing and printing on multiple platforms. Coordinate computer processing jobs and monitor processes to ensure successful completion. Perform other duties as assigned or apparent. Build, maintain, and promote relationships with team members and peers across disciplines to coordinate communication and services affecting clients. Attend webinars and training to stay up to date on best practices related to the company and department. Complete projects and other duties assigned by supervisor. Knowledge, Skills, and Abilities Flexible to accept various assignments within the print room, including operating different equipment and learning new systems. Effectively work with internal departments. Excellent communication skills, able to adapt messaging for different audiences. Proficient in MS Office, including Excel and Outlook. Make sound judgment calls when faced with situations or problems. Learn new software applications quickly. Strong work ethic and a team player. High degree of professionalism and enthusiasm. Excellent customer service, time management, and organizational skills. Detail-oriented with the ability to review printed documents for quality standards. Education & Experience High School Diploma or equivalent. 1+ years of experience with cloud-based printing solutions (recommended but not required). 1+ years of experience with administrative and clerical procedures. Knowledge of HR Pyramid (recommended but not required). Knowledge of Prism HR (recommended but not required). Proficiency with Windows applications, typing, and keyboard skills. Familiarity with FedEx, UPS, and other courier services. Physical Demands Predominantly sedentary work with long periods at a desk or computer. Frequent use of hands and fingers to operate computer keyboards, mice, printers, sealers, and mail machines. Ability to stand, walk, and move between workstations for extended periods, including occasional bending, reaching, and repetitive motions. Inspect printed payroll checks and documents for accuracy and quality. Frequent lifting, carrying, and loading of paper stock and packaging materials (typically up to 30 lbs). Cultural sensitivity and awareness when communicating with diverse backgrounds. Written communication: prepare clear and concise documentation, emails, and notes. Verbal communication: provide clear information to internal departments, report discrepancies, confirm package details, and maintain accurate tracking. Environmental Conditions The role is primarily in an office or print room environment with exposure to printers, mail machines, and other office equipment. Moderate noise from printing and sealing machines, occasional interruptions from team communication and equipment alerts.
