Wholesale Operations Executive

Naked Wolfe Location: West Hollywood, Los Angeles (in-office, Monday–Friday) Reports to: Sales Director About Us Naked Wolfe is a footwear brands sold direct-to-consumer and through a global network of wholesale partners, agents, and distributors. As our wholesale business grows, we're looking for a Wholesale Operations Executive to be the operational backbone of our accounts — making sure every order, sample, and shipment moves smoothly from confirmation to delivery, and that we always know exactly how each account is performing. This is a hands-on, detail-driven role for someone who loves systems, numbers, and follow-through, and who wants to build a career in fashion wholesale. What You'll Do Order management Log new wholesale sales orders accurately and promptly in our systems Follow every order through its full lifecycle, tracking it against confirmed ship windows to ensure correct and on-time despatch Liaise closely with the warehouse team to confirm correct booking-in procedures and account-specific ticketing/labelling requirements are met for every wholesale shipment Manage order confirmation process with customers, providing them with any relevent documentation or data needed for their order. Account & marketplace management Own marketplace curation for each wholesale account — keeping product assortments, imagery, and listings current and accurate across our wholesale marketplace platform(s) Partner with the Sales Director on outreach to prospective new wholesale accounts Manage in-season follow-up with existing accounts to maximize reorders and resolve issues quickly Manage product listings in B2B portal Nu Order Maintain line sheets, pricing, costs, and margin accuracy across systems Own SKU setup, UPCs, and master data accuracy for wholesale Build and maintain operational trackers for orders, shipments, compliance, and performance Reporting & growth Build and maintain regular account-level reporting, tracking performance against the equivalent prior period Flag growth opportunities and at-risk accounts, using data to inform where the sales team should focus Own routing guides, ship windows, cartonization, labeling, and retailer-specific requirements Oversee ASN creation, packing lists, BOLs, and all shipping documentation Support international wholesale shipments including export documentation, Incoterms, and delivery coordination Proactively flag risks related to timing, inventory, or capacity EDI, Compliance & Chargebacks Own EDI coordination and troubleshooting across major retail partners Ensure compliance with retailer requirements to minimize chargebacks and deductions Track, research, and resolve chargebacks in partnership with Finance team Maintain compliance documentation and retailer onboarding requirements Samples Coordinate and arrange seasonal sample requests and shipments for agents and distributors, keeping track of what's been sent, to whom, and when What We're Looking For Highly organized, with strong attention to detail and a \"nothing falls through the cracks\" approach Numbers-driven and comfortable working in spreadsheets and reporting tools to track account performance Excellent follow-up skills — persistent and proactive about chasing open orders, outstanding samples, and unresolved issues A genuine interest in fashion and the wholesale side of the industry Strong communicator, confident liaising across sales, warehouse, and external accounts (agents, distributors, retail buyers) Comfortable managing multiple accounts and priorities at once Prior experience in wholesale operations, sales support, or account coordination (fashion/footwear a plus, not required) Based in or able to commute to our West Hollywood office five days a week #J-18808-Ljbffr Naked Wolfe
