Vital Records Support Specialist

Job Summary: Vital Records Support Specialist
- Serve as the primary Help Desk contact for the Vital Records Program, providing frontline support for ROVER and related tools.
- Respond promptly and professionally to user inquiries, troubleshoot access and usage issues, and escalate complex problems as needed.
- Monitor, assess, and resolve requests related to onboarding, offboarding, training, data quality, and platform support.
- Coordinate training activities, including scheduling, material preparation, and follow-up support.
- Identify documentation gaps and collaborate with internal teams to develop solutions and improve processes.
- Participate in creating and delivering user resources (e.g., webinars, guides, virtual sessions).
- Conduct user testing for platform updates, document findings, and contribute to user guides and manuals.
- Maintain up-to-date knowledge of workflows and platform functionalities to provide accurate support.
- Ensure compliance with data accuracy, integrity, and reporting standards.
- Support cross-functional projects and continuous improvement initiatives within the Vital Records Program.
- Provide administrative and programmatic support to leadership and team members as required.
- Demonstrate commitment to organizational mission, values, confidentiality, and ethical standards.
- Work collaboratively in a team environment to achieve shared goals.
Position requires in-office presence at 123 Robert S Kerr Ave.
Duration: 6-12 months, not to exceed 12 months.
Minimum requirements: Bachelor's degree and one year of experience, or equivalent combination of education and experience.
Preferred:
Experience in help desk/user support, knowledge of vital records processes, strong analytical and communication skills, and adaptability in a dynamic environment.
