Responsible for office clerical work performed under supervision and according to specific routines and policies. Duties include updating system information, assisting with incoming physical mail, processing and closing cases in Salesforce, printing and mailing documents, and general department support. Under supervision, may assist with analytical work as well, including agreement setups in QLS, project tasks, administration of Land and Land Admin software, and maintenance of digital filing systems. This role may serve on the Owner Relations team or the COE team; specific duties vary by team assignment as outlined below.

Essential Responsibilities/Duties:

Within the Owner Relations Team:

•  New owner set-up and changes to existing owners in Owner Master as requested.

•  Owner research related to escheat and returned mail.

• Assist with and support DO Analysts and Owner Relations response to inquiries.

•  Sort incoming mail for the Region, print reports, and distribute as requested.

• Provide assistance on special projects assigned by Supervisor to support Company goals.

•  Preparation of Division Orders and transmittal letters for new wells and transfer of interests requiring mass mailings.

•  Verify information on executed Division Orders against Owner Master and update with any changes; verify in system that owner is in correct pay status; send information to Division Order Analyst when owner is placed in suspense.

•  Conduct business with the highest ethical standards; demonstrate decision-making skills that ensure the safety of all persons associated with SM facilities.

•  Other duties as assigned.

Within the COE Team:

•  New agreement set-ups or maintenance to existing agreements in QLS

•  Assigned project tasks, including research and assisting Project Managers with project material preparation

• Assist with ThoughtTrace Administration as well as other Land and Land Admin automation and AI initiatives

•  Assist in system upgrades and enhancements, including implementation and change management

•  Assist with procedural documentation and data gathering methods

•  Assist with coordinating Land and Land Admin training programs, including Compass, Intern, and LA Rotational

• Assist with the maintenance of Land and Land Admin digital filing systems, including eLand and M-Files

•  Assist with report testing and data integrity cleanup

•  Assist Owner Relations team, as needed, including Escheat review, Salesforce case research, and owner maintenance in SAP

•  Conduct business with the highest ethical standards; demonstrate decision-making skills that ensure the safety of all persons associated with SM facilities.

•  Other duties as assigned.

Computer/Software Applications:

• Basic level of skill in Microsoft Office and Teams. Basic knowledge and willingness to learn company specific computer software and applications including SAP, Metabase, Quorum, QQM, and Salesforce applications.

Role-Specific Technical Knowledge & Skills

• Developing knowledge of Land Administration functions and processes.

Experience/Education:

• High school diploma required. 
• Minimum of 4 year of clerical experience
