Licensing Coordinator

Position Summary The Licensing Coordinator is responsible for supporting the day-to-day administration and management of collegiate licensing programs on behalf of Nexus Licensing Group and its university clients. This position works closely with licensees, university clients, and the Nexus Licensing team to ensure licensing applications, contracts, renewals, amendments, compliance requirements, and reporting are completed accurately and in a timely manner. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple licensing programs and deadlines simultaneously. Strong communication skills and the ability to work independently while collaborating with internal and external partners are essential. Key Responsibilities Licensing Administration Work in the Nexus BrandComply software platform to manage collegiate licensing activities. Review licensing applications for completeness and accuracy and assist applicants throughout the licensing process. Process and track new license applications to ensure they have all required documentation and approvals. Create licensing contracts in the BrandComply system for new applicants seeking licenses with Nexus client universities. Process amendments to existing license agreements, including adding new properties when requested. Process renewals for existing licensees during the applicable renewal period (April- July). Follow up with applicants and licensees regarding outstanding information, documentation, signatures, and approvals. Maintain accurate and up-to-date licensing records within the BrandComply system. Licensee & Client Communication Communicate daily with licensees by email, telephone, Zoom meetings regarding licensing questions, applications, contracts, renewals, amendments, and other BrandComply-related matters. Provide professional and timely responses to licensee inquiries. Follow up on outstanding licensing requirements and deadlines. Work closely with Nexus Licensing Group team members to resolve issues and ensure consistent communication with licensees. Assist client managers with licensing-related requests and provide necessary information and documentation. Reporting & Documentation Export licensee lists and reports from Nexus systems for Client Managers and other internal needs. Prepare and distribute licensing reports and information to clients as requested. Follow up on communications and renewal requirements to ensure timely completion. Maintain organized electronic records of licensing documentation, contracts, applications, and related correspondence. Insurance & Compliance Follow up on and run reports for expired insurance certificates and other required compliance documentation. Monitor licensee compliance requirements and communicate outstanding items to licensees. Assist with ensuring licensees maintain required insurance and other certifications throughout the licensing term. Work with the BrandComply team to address issues or requirements that need attention. Team Support Work collaboratively with the BrandComply team to identify and address issues affecting licensing operations. Assist with special licensing projects and administrative tasks as assigned. Stay current on Nexus Licensing Group procedures, client requirements, and BrandComply processes. Provide general administrative support to ensure efficient operation of Nexus Licensing Group’s licensing programs. Required Qualifications Strong organizational and time-management skills. Preferred Qualifications Experience in licensing, brand marketing, collegiate athletics, trademark enforcement, brand management, compliance, or a related field. Experience working with licensing or vendor-management software. Experience working with colleges and universities, manufacturers, retailers, or licensees. Familiarity with contracts, insurance certificates, compliance documentation, and renewal processes.
