Description Job Overview Your Responsibilities Oversee the preventive maintenance, repair, and physical condition of all association-maintained facilities, amenities, infrastructure, and common areas. Serve as the primary operational contact for maintenance vendors, contractors, and service providers, ensuring work is completed safely, efficiently, and in accordance with contract requirements. Maintain asset inventories, inspection schedules, preventive maintenance programs, and work-order systems to support effective property operations. Conduct routine inspections of facilities, grounds, landscaping, irrigation systems, ponds, and other common assets to identify maintenance needs, safety concerns, and operational improvements. Manage landscape, irrigation, and pond maintenance programs, including contractor oversight, quality assurance, performance monitoring, and follow-up on corrective actions. Coordinate and oversee maintenance projects, repairs, and specialty vendor services while directing the work of onsite maintenance personnel. Support architectural review processes through site inspections, documentation, and verification of completed work against approved plans and specifications. Assist the General Manager with maintenance budgeting, reserve planning, vendor procurement, bid evaluations, replacement planning, and project prioritization. Maintain accurate operational records and prepare regular reports regarding maintenance activities, project status, deficiencies, expenditures, and upcoming needs. Direct vendors within approved contracts and delegated authority while escalating scope changes, major repairs, and unbudgeted expenditures for management approval. Partner with residents, Board members, and management to address property concerns and support the long-term preservation and enhancement of Association assets. Skills & Qualifications Bachelor's degree or equivalent combination of education and relevant experience in property operations, facilities management, construction, maintenance, or community association management. Three to five years of experience managing property operations, facilities, maintenance programs, vendors, or capital improvement projects. Strong knowledge of building systems, preventive maintenance practices, landscaping, irrigation systems, and contractor management. Demonstrated ability to manage budgets, prioritize projects, analyze vendor proposals, and oversee multiple initiatives simultaneously. Proficiency in Microsoft Office, Outlook, and property management, work-order, or facilities management systems. Strong communication, organizational, problem-solving, and customer service skills. Ability to maintain accurate records and work effectively with residents, Board members, contractors, and internal stakeholders. Physical Requirements / Working Environment Position involves sitting, standing, walking, bending, climbing stairs, and traversing community grounds and facilities during inspections and project oversight. Must be able to lift, carry, push, or move objects weighing up to 25 pounds. Must be able to communicate effectively in person, by phone, and electronically with residents, vendors, Board members, and associates. Must be mobile enough to inspect facilities, landscaping, trails, ponds, and active maintenance or construction projects, including uneven terrain. Capable of working extended hours, including evenings, weekends, and holidays as necessary to support operational needs, Board meetings, emergencies, or special projects. Position routinely includes both office-based work and outdoor field inspections in varying weather conditions. The work environment characteristics are a combination of standard office conditions and active field operations within the community.
