Assistant Manager (Multi-Family)

EDUCATION AND EXPERIENCE:Required:High school diploma or equivalent Preferred:Bachelors or Associates degree Yardi experience Minimum of 3 years previous experience in property management at a 400+ unit building Prior office experience in residential or retailMust have at least 3 years of managerial experience Experience in a conventional/Market Rate PropertyRESPONSIBILITIES:Tasks listed are a description of the way this job is currently performed and are not an exhaustive list of all the tasks that may be required for each physical demand.Facilitate rent and delinquency collections by adhering to the law to ensure that accounts are sent to legal within a timely manner. Complete move out statements within 21 days as per the law. (Duties include working with vendors to ensure invoices are sent timely) Assist the General Manager with compiling weekly/monthly reports.Conduct site tours, effectively sell to prospects and lease apartments. Site tours include but are not limited to, transporting and showing the prospect around the community, all community amenities, model apartments and available apartments. Assure leasing packets and legal documents are completed accurately. Work with the property management team to develop and implement sales, marketing strategies and goals for the communityMaintain thorough product knowledge, area knowledge, and market knowledge of community assigned and that of major competition through site visits/tours and telephone surveys. Oversee and prepare all lease related paperwork in an accurate and timely manner. Assist with the day-to-day operations and manage deposits of rent payments and misc. ancillary income by posting daily (weekends excluded)Work with General Manager to direct the efforts of the on-site team to ensure apartments are ready for move in and are maintained in a satisfactory manner. Oversee and maintain company customer service standards with decorum and professionalism. Handle resident requests and work quickly to resolve any problems or complaints, following up to make sure the issue is fully resolved, and the resident is satisfied.Oversee and follow established policies and procedures regarding the qualifications, screening and acceptance of applicants for residency. Inspect units the day before moving in to ensure units are rent ready. Oversee and follow the property lease renewal program. (This includes follow up and lease execution).Assist, when needed, in the scheduling of work to be performed, including vacations, holidays, after-hour emergency coverage, etc. Completely understand our lead management system, resident portal, and all other property management software.Adhere to company best practices and federal Fair Housing requirements during all phases of the prospect/resident lifecycle, from initial prospect inquiry to resident move out (i.e. touring, application processing, security deposits, rental rates, lease administration, resident complaints, legal processes, renewals, etc.)Manage online reviews, monitor/update social media accounts.Process all Statements of Deposit Accounting within the timeframe outlined in our policy.Make recommendations and modifications regarding property performance, business needs, etc. Handle insurance claims for damage caused by residents.Facilitate retail bill back / residential expense reimbursement for all shared expenses with retail, this to be completed quarterly at a minimum.Attend Retail Operations Calls as needed.Communicate to residents any retail construction activity that would impact residential.Help facilitate communication between Retail Manager and maintenance for any emergency maintenance or service related issues. Assist General Manager with Accounts Payables. Any other tasks assigned or directed by General Manager. OTHER KNOWLEDGE, SKILLS, AND ABILITIES:Exemplary customer relations and communication both in person and via phone/email, including written and verbal correspondence required. Able to operate basic office equipment including copiers, fax machines, filing cabinets, enter data into a computer, and create printed reports. Possess basic bookkeeping knowledge and perform intermediate mathematical functions.Ability to efficiently operate software's such as Excel, Word, and PowerPoint. Attention to detail and possess ability to follow up. Ability to work a schedule during normal hours and that may be other than Monday- Friday, 8-5. Work in excess of 40 hours per week is likely. Use good judgment and make sound decisions in a fast-paced environment.Demonstrate practical thinking and make sound decisions. PHYSICAL DEMANDS:Must be able to lift, push, pull, and/or move up to 10 pounds. Regularly required to sit, stand, walk, open doorsCOMMUNICATION:Must be able to communicate (orally and written) in a professional manner on a regular basis with prospective residents, current residents, staff, management, and co-workers within the company as well as with outside vendors. Can be part of a team. Follows instructions and responds to management's discretion.
